Australian Law Firm | Full-Time Remote Role
We are an Australian law firm seeking an experienced Legal Secretary / Legal Assistant based in the Philippines to work remotely with our legal team.
This is not a general virtual assistant position. We are looking for someone who already understands how a law firm operates and can confidently manage legal documents, client files, calendars and administrative compliance requirements.
Essential Experience
You must have experience with:
Smokeball legal practice management software
Smokeball calendar and task management
Managing solicitor calendars, appointments, reminders and important legal dates
Reviewing legal documents and correspondence
Preparing and formatting legal documents
Identifying different types of legal documents
Renaming legal documents correctly and consistently
Saving documents into the correct client and matter files
Electronic legal document filing and file management
Creating, combining, splitting, converting and organising PDF documents
Adobe Acrobat or similar PDF software
Dropbox file management
Microsoft Word and Outlook
Managing incoming and outgoing
Maintaining organised and complete electronic legal files
Your Responsibilities
The role will include:
Reviewing documents received by
Determining which client and legal matter each document relates to
Renaming documents according to the firm's naming procedures
Converting documents to PDF where appropriate
Combining, splitting and organising PDF documents
Saving documents into the correct Smokeball and Dropbox folders
Ensuring documents are filed correctly and can be easily located
Checking legal files for missing or incorrectly filed documents
Preparing and formatting letters, court documents, correspondence and other legal documents
Managing calendars and legal deadlines in Smokeball
Entering appointments, court dates, conferences and reminders
Ensuring important dates and tasks are brought to the solicitor's attention
Assisting with court and tribunal document filing
Maintaining compliance checklists and administrative requirements
Opening and maintaining client matters
Saving relevant
Following up internally when documents or information are missing
Maintaining strict client confidentiality
English Communication Is Very Important
You must have excellent spoken and written English.
You will need to communicate clearly and professionally with our lawyers, staff and, where required, clients and other organisations.
You must be able to:
Speak fluent and easily understandable English
Explain issues clearly rather than simply saying that something is wrong
Ask sensible questions when instructions are unclear
Communicate confidently by telephone, Microsoft Teams or video call
Write professional
Understand Australian accents and instructions
Provide clear verbal updates about files, deadlines and outstanding matters

Experience in litigation, building and construction law or commercial law would also be highly regarded.
