Remote Legal Administrative Assistant
Reports To: Office Manager of Plaintiff Injury Law Firm
Department: Administrative / Operations Support
Location: Remote
Schedule: Must align with U.S. Eastern Time business hours (with flexibility for evenings/weekends as needed)
Position Summary:
We are seeking a detail-oriented and dependable Remote Legal Administrative Assistant to support our Office Manager and front-office operations. This role will play a key part in answering and routing incoming calls, providing administrative support, and assisting with basic operational tasks to ensure a smooth and responsive client experience.
This position is ideal for someone who is highly organized, professional on the phone, and comfortable working in a fast-paced environment supporting a U.S.-based law firm.
Key Responsibilities:
1. Phone & Client Communication Support (Primary Function):
- Answer incoming calls through our cloud-based phone system (Dialpad)
- Route calls to appropriate tea
- Log and track calls in the system accurately
- Monitor missed calls and ensure timely follow-up
- Document and escalate client concerns or complaints
- Assist with basic intake routing (based on firm guidelines)
- Provide professional, courteous, and empathetic communication at all times
2. Administrative & Operational Support:
- Assist with data entry and record updates in systems (e.g., CRM/case management tools)
- Help track referrals and cases we do not handle
- Support reporting needs (call logs, basic metrics)
- Assist with subscription tracking and administrative follow-ups
- Provide general administrative support for special projects, as assigned
3. Finance & Task Coordination Support (Light Support Only):
- Assist with organizing invoices, receipts, and documentation for the Office Manager
- Help track expense submissions and follow up on missing information
- Support reconciliation preparation (no final responsibility)
- Assist with vendor communication follow-ups, as directed
4. Team & Workflow Support:
- Assist other remote tea
- Help maintain task lists and ensure timely completion of assigned work
- Participate in tea
- Identify inefficiencies and suggest process improvements
Qualifications:
- 2+ years of experience in the legal profession
- 2+ years of administrative or customer service experience (remote preferred)
- Strong verbal and written English communication skills
- Experience handling phone systems or call center environments preferred
- High attention to detail and accuracy
- Strong organizational and time management skills
- Ability to follow structured processes and workflows
- Comfortable using technology (Dialpad, CRMs, Microsoft Office, etc.)
- Reliable internet connection and quiet work environment
