Remote Automotive Collision Estimator / Service Advisor & Parts Coordinator

Full-Time | $950 USD/Month | Remote | California Automotive Shops

We are looking for a full-time Remote Automotive Collision Estimator / Service Advisor & Parts Coordinator to help manage two automotive shops in California: a collision/body shop and a mechanical repair shop.

THIS IS NOT A GENERAL VIRTUAL ASSISTANT POSITION.

CCC ONE EXPERIENCE IS REQUIRED

You must have real experience using CCC ONE and understand collision repair estimating. If you have never worked with CCC ONE, please do not apply.

Experience with Tekmetric is a plus, but NOT required. We can train the right candidate on Tekmetric.

Compensation & Schedule

Starting Pay: $950 USD per month

Full-time, Monday–Friday, working California/Pacific Time business hours.

This is intended to be a long-term position with the opportunity for increased compensation based on performance and responsibilities.

Your Responsibilities

You will help manage the front-office operations of both shops.

Your responsibilities will include:

* Answer phone calls for both businesses
* Schedule customers and appointments
* Provide customers with repair updates
* Follow up on estimates and approvals
* Communicate with insurance companies and adjusters
* Create and update estimates in CCC ONE
* Prepare and track collision supplements
* Review estimates and insurance paperwork
* Keep collision repair files organized
* Eventually learn and work inside Tekmetric
* Create mechanical repair estimates from technician recommendations
* Send estimates and obtain customer approvals
* Keep repair orders updated
* Follow vehicles from drop-off through completion

Parts Sourcing & Ordering

You will also be responsible for helping source and order parts for both shops.

This includes:

* Use VIN and vehicle information to identify the correct parts
* Source OEM, aftermarket, recycled and used parts
* Contact our regular vendors
* Compare prices between vendors
* Search eBay Motors and other approved online sources
* Compare price, shipping, delivery time, condition, warranty and return policy
* Verify correct fitment before purchasing
* Find the best overall deal — not simply the cheapest part
* Place approved parts orders
* Record purchases under the correct repair order
* Track shipments
* Follow up on delayed parts
* Handle returns and incorrect parts
* Match vendor invoices with repair orders

We want someone who understands that saving $30 on a part is not worth delaying a repair for five additional days.

Bills & Basic Bookkeeping

You will help:

* Enter vendor bills
* Organize receipts
* Match bills and parts purchases to repair orders
* Track outstanding customer balances
* Track bills that need to be paid
* Perform basic QuickBooks Online tasks
* Maintain organized records
* Provide management with weekly reports

QuickBooks experience is preferred but not required.

REQUIRED EXPERIENCE

You MUST have:

* Previous CCC ONE experience
* Collision estimating experience
* Knowledge of automotive parts
* Understanding of collision repair procedures
* Excellent spoken English
* Excellent written English
* Experience communicating with customers
* Reliable computer and high-speed internet
* Quiet professional workspace
* Ability to work California/Pacific Time hours

It is OK if you have never used Tekmetric. We can train you.

5. VOICE RECORDING — REQUIRED

Send a 60–90 second voice recording introducing yourself.

Then pretend you are answering this customer phone call:

“Hi, I’m calling to check on the status of my car. I dropped it off three days ago and nobody has called me.”

Respond exactly as you would if you were working for our shop.

Who We Want

We are looking for someone who can eventually become an important part of our operation — not simply someone who completes assigned tasks.

You should be organized, dependable, comfortable speaking with American customers, knowledgeable about collision repair and able to work independently.

Your primary expertise should be CCC ONE and collision estimating.

We will teach the right person our specific procedures and how we use Tekmetric for the mechanical side of the business.
