Job Title
Remote Administrator – SOP Implementation & Admin Support

Job Type
Part-time Remote Contractor (Philippines)

Hours
Minimum 10 hours per week to start, with the possibility of additional hours as the role develops or when required.

Pay and Hours
This role will start at $4.01- $5.67 per hour for a suitable candidate, and depending on experience this may be reviewed. It is likely there will be the opportunity for additional hours and increased responsibility as the role develops.

About the Business
Sowena operates across three property businesses in the UK:
• Sowena Property – property investment and portfolio management
• Sowena Lettings – management of our own property portfolio
• Sowena Stays – serviced accommodation
The business is run by property investors and mentors Ginny Lean and Jeremy Grigg.
We are currently implementing new Standard Operating Procedures (SOPs) to improve organisation, efficiency, and systems across the business.
You will work with Ginny, Jer and our existing administrator Karen to help implement these systems and support the day-to-day administration of the business.

Purpose of the Role
The purpose of this role is to support the Sowena team by:
• Implementing Standard Operating Procedures (SOPs)
• Keeping tasks organised in Asana
• Supporting administration across the business
• Maintaining organised systems and records
This role is ideal for someone who enjoys organisation, systems and structured processes.

Key Responsibilities
SOP Implementation
• Assist with implementing new administrative SOPs
• Help document and maintain business processes
• Ensure tasks follow established procedures

Task & Workflow Management
• Organise and manage tasks in Asana
• Track deadlines and follow-ups
• Ensure tasks are completed on time

Administrative Support
• General administration support
• Updating spreadsheets and documents
• Managing digital records and files
• Supporting communication when required

CRM Management
• Maintain contact records in LACRM (Less Annoying CRM)
• Keep contact databases organised and updated

Marketing Support
• Support email campaigns using Mailchimp
• Maintain contact lists and campaign records

Director Support
• Assist with diary coordination where required
• Help track business tasks and priorities

Required Skills
Candidates should have experience with:
• Microsoft Office and Google Workspace
• Asana (or similar task management software)
• CRM systems
• Mailchimp or similar email marketing platforms
You must also:
• Speak clear and professional English
• Be highly organised and reliable
• Have strong attention to detail
• Be comfortable learning new systems and processes

Technical Requirements
Candidates must have:
• Fast and stable internet connection
• A reliable computer
• A quiet working environment
• Ability to attend Microsoft Teams meetings
