About the Role
We are hiring a Remote Administrative & Property Management Assistant to support the daily operations of our apartment portfolio and administrative workflows.
This is an ongoing, long-term role with consistent work for the right person. You will act as a key support person for apartment management tasks, documentation, deadline tracking, and coordination with multiple parties.
Key Responsibilities
Property & Apartment Management (Primary Focus)
Track leases, renewals, move-ins, and move-outs
Maintain organized tenant and unit records
Track insurance policies, permits, and expiration dates
Monitor inspections and compliance-related deadlines
Administrative & Operations Support
Manage
Organize digital files and documentation
Track tasks, priorities, and deadlines
Communication & Coordination
Communicate with tenants, vendors, contractors, and service providers
Coordinate with insurance companies
Communicate with government entities and housing authorities when needed
Follow up on submissions, approvals, and open items
Vendor & Building Support
Coordinate maintenance and service requests
Track work orders and confirm completion
Maintain vendor lists and documentation
Data & Record Management
Update spreadsheets, logs, and reports
Track invoices, payments, and property-related records
Requirements
Required
Proven experience as an Administrative Assistant or Virtual Assistant
Experience with property or apartment management tasks
Strong organizational and time-management skills
Excellent written English communication
High attention to detail and reliability
Ability to work independently and meet deadlines
Preferred (Nice to Have)
Experience working with U.S.-based companies
Experience coordinating with government entities or compliance documents
Familiarity with Google Workspace, Excel, and tracking systems
Work Details & Compensation
100% Remote
Hourly pay
Long-term, ongoing work
$4 – $7 USD per hour (based on experience)
