Full Time - Long Term - Real Estate Brokerage
We are a fast growing, high performance real estate brokerage operating across multiple states in the U.S. We are hiring a detail-obsessed, process-driven Virtual Assistant to support our Recruiting Department and Referral Operations.

What You Will Be Responsible For:
• Recruiting Pipeline Management - You will manage the administrative side of our recruiting process from initial inquiry through onboarding. This includes sending intake forms, tracking candidate progress, maintaining accurate CRM records, scheduling calls, sending reminders, executing follow up sequences, and ensuring every touchpoint is documented properly. Our leadership team makes hiring decisions. Your role is to ensure the process runs smoothly and cleanly.
• CRM & Data Integrity - You will maintain strict CRM health and cleanliness. Every candidate must be tagged correctly, placed in the proper stage, and updated in real time. You will flag stalled conversations, protect deadlines, and ensure reporting numbers are accurate. Clean data is non-negotiable.
• Reporting & Metrics Support - You will assist in preparing monthly recruiting reports by pulling and organizing performance data including appointments, interviews, conversions, onboarding progress, and retention metrics. Accuracy and timeliness matter.
• Referral Operations & Documentation - You will support referral tracking from intake through payout. This includes logging referrals, maintaining tracking spreadsheets, organizing agreements and W 9s, monitoring key dates, and ensuring compliance documentation is complete. You will also send structured status updates to agents and leadership.
• Process & SOP Maintenance - You will help formalize and maintain internal processes. This includes organizing Google Drive systems, updating SOP documents, maintaining
• Quality Control & Escalation - Before marking any task complete, you are responsible for verifying that records are updated, documentation is uploaded, and communication has been sent. You will escalate when deadlines are at risk, responses are missing, or compliance or financial issues arise.
What This Role Is Not - This role does not include interviewing candidates and making hiring decisions. If successful in other areas, there could be room for growth in the future.
Ideal Candidate
• Extremely detail oriented
• Comfortable managing multiple moving parts
• Strong written English required, strong spoken English preferred
• Experienced with CRMs and Google Drive
• Process driven and structured
• Able to work during U.S. Eastern Time business hours (TBD but able to work an 8-hour shift between 8:00 AM to 7:00 PM)
Real estate experience is a plus, but operational discipline matters more.
Employment Information
• Employee will be paid according to our pay periods: For dates 11th - 25th and 26th - 10th, they will receive funds on the 15th and 30th of each month.
• Employee will be paid in US currency, via OnlinePH Easy pay.
• Employee must have a time tracking set via OnlinePh.
