Remote Receptionist / Virtual Front Desk Coordinator — Staffing Agency
Schedule: Mon–Fri, 8:00am–6:00pm Central (1-hour lunch)

Type: Full-time (Remote)
Role Summary
We’re looking for a friendly, professional Remote Receptionist / Virtual Front Desk Coordinator to manage our inbound calls and keep communication organized in a fast-paced staffing agency. You’ll be the first point of contact for candidates and clients—answering calls, routing messages, scheduling, and supporting light admin tasks that help our recruiting team move quickly.
Key Responsibilities
Answer incoming calls promptly and professionally; transfer/route to the right team member
Take accurate messages and ensure same-day follow-up for urgent items
Schedule appointments and coordinate calendars (interviews, check-ins, client calls)
Send candidates basic instructions and links (screening steps, onboarding forms, appointment confirmations)
Support onboarding coordination (document tracking, reminders, start-date confirmations—no in-person tasks)
Perform light administrative support (data entry, updating spreadsheets/ATS notes as assigned)
Maintain organized communication logs so nothing falls through the cracks
Communicate clearly with recruiters/leadership throughout the day on priorities and escalations

Calls answered quickly with a warm, helpful tone
Messages routed correctly with minimal missed follow-ups
Calendars stay accurate and confirmations go out on time
Candidates and clients feel taken care of and informed
Requirements
1+ year experience in receptionist, call handling, or customer service (high call volume preferred)
Strong phone presence and professional written communication (text/email)
Highly organized, dependable, and comfortable multitasking
Comfortable with Microsoft tools (Outlook, Teams) and basic data entry
Reliable internet, quiet workspace, and ability to work Central time hours consistently
Nice to Have
Experience in staffing, recruiting, HR, or fast-paced service business
Bilingual (English/Spanish)
Experience with phone systems/VoIP and call routing
