JOB OVERVIEW

Part-time VA for a real estate sales team in Ontario, Canada. You handle the paperwork, the process, and the follow-up. I focus on clients and closing deals.

Monday–Friday | 4 hours/day | 20 hours/week (This can be flexible, for example x1 8 hour shift and x2 4 hours)
After 3-month probation, top performers move to full-time at a higher compensation.
Bonus and incentives will be given

REQUIRED SKILLS — if you don't have these, do not apply

Minimum 1 year supporting a real estate agent or team
Transaction coordination experience — listings, offers, and after-sale process
Skyslope experience — sending out signings, managing documents and compliance
CRM management (Follow up boss, Go High Level) — tagging, organizing, and maintaining a clean database

Email marketing (Mailchimp, ActiveCampaign, or similar)
Excellent written English — you are writing client-facing emails and reports
Available EST hours, stable internet with backup — non-negotiable

Bonus: Experience with Notion

WHAT YOU'LL DO
Transaction Coordination (Most Important)

Send out signings and manage documents through Skyslope
Support the full listing process from start to close
Execute the after-sale follow-up process for every closed deal
Send weekly activity reports to clients ( ---------- stats + agent showing feedback)
Make sure nothing falls through the cracks

CRM & Lead Management

Keep all contacts tagged, organized, and up to date
Ensure every lead has a follow-up sequence — zero leads go cold
Maintain past client database with milestones and touchpoints
Birthday and House anniversary reminders

Email Marketing

Send bi-weekly newsletter and nurture emails to the database
Send "Deal of the Week" email every Monday
Draft client-facing communications using approved templates

Reporting

Daily 3-bullet update (done / in progress / blocked)
Weekly scorecard every Friday
