We are seeking a Real Estate Virtual Assistant with Australian sales administration and property management experience to support a growing real estate team.
The successful candidate will assist with sales campaigns, CRM management, marketing coordination, and day-to-day property management tasks. This role requires strong organisation, attention to detail, and the ability to manage multiple workflows in a fast-paced environment.
Key Responsibilities:
(Sales)
• Research buyers and property owners using CoreLogic or Pricefinder
• Schedule and confirm open homes and inspections
• Respond to buyer, vendor, tenant, and landlord enquiries
• Prepare property ads, brochures, and marketing materials
• Upload listings, media, and data into the CRM
• Create and schedule social media posts (Coming Soon, Just Listed, Just Sold)
• Set up and manage Meta ads and track campaign performance
• Coordinate photography, videos, floorplans, and signboards
• Manage
• Enter and maintain vendor and property data in the CRM
• Track commissions, VPA/vendor payments, and trust-related requests
• Ensure contracts, approvals, and compliance documents are complete and accurate
• Communicate with vendors (welcome
• Maintain compliance checklists and ensure documentation is properly filed
(Property Management)
• Assist with tenant and landlord enquiries and general property management support
• Send notices (entry, rent increase, lease renewals)
• Manage maintenance requests and coordinate with trades
• Schedule inspections (routine, entry, vacate) and confirm appointments
• Prepare lease documents and manage tenant onboarding
• Update rent roll, property data, and tenant records in the CRM
• Track lease renewals, arrears, and compliance requirements
• Liaise with contractors, track jobs, and manage work orders
• Upload invoices and match expenses to properties
• Maintain accurate property files and compliance records
• Send reports and updates to landlords
Qualifications:
• Proven experience as a Real Estate Virtual Assistant or Administrator
• Experience in both sales administration and property management (AU experience required)
• Familiarity with CoreLogic, Pricefinder, or similar tools
• Experience with real estate CRMs and property management systems
• Strong understanding of Australian real estate processes and compliance
• Excellent written and spoken English communication skills
• Highly organised with strong attention to detail
• Reliable, proactive, and able to work independently
