We are seeking a highly organized and proactive Real Estate Virtual Assistant to support the day-to-day operations of a growing luxury real estate business based in Miami. This role is focused on streamlining backend processes so the agent can stay focused on client relationships, deal flow, and business growth.
Key Responsibilities:
• Manage and organize transaction workflows for rentals, purchases, and listings
• Gather all required documentation directly from clients (ID, financials, disclosures, applications, etc.)
• Oversee and maintain accurate files within Form Simplicity
• Assist in creating, refining, and implementing Standard Operating Procedures (SOPs)
• Support CRM management through KV Core including lead tracking and follow-up coordination
• Ensure all compliance and documentation requirements are met for Florida real estate transactions
• Coordinate with clients, agents, lenders, and title companies to keep transactions moving smoothly
• Prepare and organize listing and offer packages
• Monitor timelines, deadlines, and key contract dates
Qualifications:
• Experience in real estate transactions (Florida experience preferred)
• Strong familiarity with Form Simplicity, KV Core, and MLS systems
• Highly detail-oriented with strong organizational skills
• Excellent communication skills with a client-first mindset
• Ability to take initiative and manage multiple transactions simultaneously
• Professional, discreet, and reliable
