Real Estate Virtual Assistant
The Markowski Team | Real of Ohio

The Markowski Team is looking for an organized, detail-oriented Virtual Assistant to support our real estate operations. This role is ideal for someone comfortable working across CRM systems, marketing tools, and reporting platforms, with strong follow-through and the ability to manage recurring tasks independently once trained. Update: Utilize at least 3 applicant points to be considered.

Responsibilities

CRM & Lead Management
-Maintain and update lead records in Lofty (CRM)
-Track and compile lists of leads requiring follow-up/reach-out
-Monitor and update status on hot leads
-Support CRM data reporting (email activity, lead data, etc.)

Business & Performance Reporting
-Update business tracking sheets
-Maintain review tracking
-Compile business performance reports
-Prepare monthly business reports
-Prepare award reporting

Marketing & Social Media
-Create and schedule marketing newsletters, including gathering supporting data
-Create social media content
-Track social media performance data
-Compile social media performance reports

Transaction & Closing Support
-Update records and reporting after closings
-Save and organize receipts

Systems & Research
-Research updates to current systems/tools in use
-Research new systems or tools — including pricing, functionality, use cases, and comparison to current tools
-Maintain and update vendor list

Administrative Support
-Maintain CTE updates
-Support Asana task tracking and exports
-Compile to-do lists and task summaries

Ideal Candidate
-Prior experience with real estate and CRM systems
-Comfortable with marketing/social media content creation
-Strong organizational skills and attention to detail
-Able to work independently on recurring tasks after initial training
-Clear, professional written communication

Systems & Tools Required:
-Gmail / Google Workspace
-Google Drive / Sheets / Docs
-Microsoft Office Suite / OneDrive / Excel
-Contact Relation Management systems
-Meta Business Suite (Facebook & Instagram)

Systems & Tools Preferred:
-Multiple Listing Service (MLS)
-ChatGPT, Claude, or similar AI tools
-Asana task management
-Canva Content Creation System
-CRM Systems - Lofty / FollowUp Boss
