Position Overview
We are seeking a highly organized and detail-driven Virtual Assistant with proven real estate Contract-to-Close experience to support our transactions from executed contract through closing. This role is critical to ensuring compliance, managing timelines, coordinating inspections, and maintaining clear communication with all parties involved.
The ideal candidate is proactive, deadline-oriented, and comfortable managing multiple transactions simultaneously while maintaining accuracy and professionalism.
Key Responsibilities
Contract & Compliance Management
Review fully executed contracts for accuracy and completeness
Ensure all required documents are collected, signed, and compliant
Maintain complete and organized transaction files
Monitor compliance deadlines and brokerage requirements
Transaction Coordination
Manage contract timelines and critical dates from contract to close
Schedule inspections, appraisals, and other transaction-related appointments
Coordinate with agents, clients, lenders, title companies, and inspectors
Track contingencies and follow up to ensure timely completion
Communication & Updates
Provide regular status updates to agents and internal tea
Proactively communicate upcoming deadlines or missing items
Serve as a reliable point of contact throughout the transaction
Systems & Organization
Update CRM and transaction management systems accurately
Maintain checklists and workflows for each file
Ensure all tasks are completed on time and documented properly
Required Qualifications
Proven experience in real estate Contract to Close / Transaction Coordination (required)
Strong understanding of real estate contracts, timelines, and compliance
Exceptional attention to detail and organizational skills
Excellent written and verbal communication skills
Ability to manage multiple files and deadlines simultaneously
