We are looking for a dual position experienced Real Estate Transaction Coordinator & Mortgage Loan Processor to join our growing real estate and mortgage business.
This is a dual-role position. Real estate transaction coordination and mortgage processing are equally important. We are looking for someone who already has strong real estate transaction coordination experience and the mortgage-specific processes as needed.
THIS IS NOT AN ENTRY-LEVEL POSITION.
You must have at least 2 years of proven real estate transaction coordination experience and be comfortable managing multiple active files, deadlines, documents, and client communications with minimal supervision.
We need someone who can jump in, learn our systems quickly, take ownership, and keep files moving.
Responsibilities
Real Estate Transaction Coordination
- Manage transactions from contract to closing
- Track all contract deadlines and contingencies
- Coordinate inspections, appraisals, title, financing, repairs, and closing
- Communicate with buyers, sellers, agents, lenders, title companies, and vendors
- Collect, organize, upload, and track documents
- Monitor outstanding items and follow up until completed
- Keep clients informed throughout the transaction
- Maintain accurate transaction records
- Proactively identify potential issues before they become problems
- Ensure nothing falls through the cracks
Mortgage Loan Processing
- Assist with mortgage files from application through closing
- Follow up with clients for required documentation
- Track outstanding loan documents and conditions
- Communicate with borrowers regarding missing information and next steps
- Coordinate with lenders, underwriters, title/closing companies, and other parties
- Track loan milestones and deadlines
- Make client follow-up calls
- Keep clients updated throughout the process
- Escalate issues that require the attention of the Loan Officer
Mortgage-specific processes can be trained. Strong organization, follow-through, transaction experience, and the ability to work independently cannot.
Systems
REQUIRED: FOLLOW UP BOSS
You must have hands-on experience using Follow Up Boss.
Experience with the following is preferred, not required:
- SkySlope
- Stellar MLS
- Mortgage processing systems
- Google Workspace
You are someone who:
- Has 2+ years of real estate transaction coordination experience
- Loves organization, systems, deadlines, and keeping things moving
- Can manage 10+ active files/tasks simultaneously
- Works independently without constant supervision
- Is proactive and follows up without being asked
- Is comfortable making phone calls
- Has excellent written and verbal English
- Is highly detail-oriented
- Can prioritize competing deadlines
- Takes ownership when something needs to be done
- Notices problems before they become emergencies
- Is comfortable learning new systems and processes
- Takes pride in providing an excellent client experience
I should not have to chase you for updates or remind you about deadlines.
You will be expected to own your files, communicate proactively, and follow tasks through to completion.
Requirements
- 2+ years of proven Real Estate Transaction Coordinator experience
- Follow Up Boss experience REQUIRED
- Mortgage processing experience is a strong plus, but not required
- Experience managing multiple transactions simultaneously
- Excellent communication and organizational skills
- Comfortable making outbound client calls
- Strong attention to detail and follow-through
- Able to work independently with minimal supervision
- Reliable internet and computer
- Ability to work during agreed-upon business hours
