JOB OVERVIEW

We’re looking for a highly organized, detail-driven Virtual Assistant with real estate experience who thrives on building systems, improving workflows, and keeping a fast-moving business running smoothly behind the scenes.
This is not a basic task-based VA role.
This is for someone who enjoys structure, efficiency, and taking ownership of operations.

You’ll support daily real estate operations by managing email and calendars, maintaining and organizing the CRM (Follow Up Boss or similar), tracking and nurturing leads, assisting with client communication and care, organizing transactions and timelines, managing tasks in systems like Trello, and documenting/updating SOPs. You’ll also help improve workflows using tools like Zapier and AI to create smarter, more efficient systems.

Who You Are

You have hands-on experience in real estate operations, including working with transactions, CRM systems, lead follow up and client care. You’re extremely organized with strong attention to detail, and you naturally bring structure to everything you touch. You’re tech-savvy and quick to learn new systems, with experience using platforms like Follow Up Boss or similar CRMs. You’re comfortable using automation tools like Zapier and leveraging AI to improve efficiency. Work flow tools like Trello and Click Up. You communicate clearly and professionally, manage your time well, and stay on top of multiple moving parts without things slipping through the cracks. Most importantly, you’re proactive, reliable, and solution-oriented—you don’t just complete tasks, you look for ways to improve systems and make the business run smoother.
