What you will be doing:
Administrative support to team leaders and sales agents
Database manager (data integrity and input)
Manage/direct incoming calls from clients and potential clients
Administration (pre to post closing) of all new listings, and buyer sales
Outgoing calls for showing feedback, client updates, details needed
Market Research and property evaluation preparation
Marketing Packages and pre-appointment documentation
Feature Sheets, Website updates, ad submissions
Social media postings
Client and community event coordination and marketing
Office organization and reporting
General Administrative functions, errands and deliveries as needed
Event Coordination
Input MLS listings, upload photos, scan documents, process new listing documents (price changes, extensions), etc., enter listing information and appointment instructions
Reception duties – answer telephones, confirm appointments, greet clients/walk-ins, notify agents
Booking and confirm showing appointments
Offers – preparation of offers, amendments, waivers and other related forms/ documents
Maintenance of office supplies & Inventory
Booking of open houses, preparation of feature sheets, photocopying and filing of all listings & legal documents
Help with duties such as typing, assisting agents with draft letters and other documents
Preparing month end reports
Administer and keep track of payments and accounts (provide weekly reports)
Other duties as assigned
What are we looking for:
3 to 5 Years experience in an administrative role
Exceptional communication skills (written and verbal)
Strong attention to detail
Self-starter
Mid to advanced level Microsoft Word, Excel, Powerpoint, Google Drive/Gsuite
Mid to advanced level computer skills
Good understanding of technology and trends including Mobile & Social technologies
Great Multitasker
Excellent organization & time management skills
Superior customer service skills, including excellent telephone manner
Nice to have:
Creative designer (Canva)
Web Design
Content writing
Real Estate experience
Social Media/Online/Direct Marketing Experience
