ABOUT THE ROLE:
I’m building a system-driven real estate acquisition machine in Rutherford County, North Carolina (USA). I buy off-market residential homes, manage renovations with an established contractor network, and flip them for retail sale.
I also run a private lending operation and a large

Build and maintain
Manage lead intake, scoring, follow-up, and communication
Integrate tools via Zapier
Organize lists from PropStream and DealMachine
Coordinate marketing, SMS outreach, and direct mail
Run the “machine” daily so I only step in for decisions and appointments
This is NOT an entry-level VA position.
This is for someone who loves systems, structure, operations, and building workflows.
? RESPONSIBILITIES (DAILY + WEEKLY)
A.
Build boards for:
Acquisitions pipeline
Direct mail tracking
Driving for Dollars
Rehab project management
Dispositions
Trades & vendor contacts
Create automations, dashboards, integrations, and workflows
Maintain data hygiene, status labels, and task reminders
Document all workflows and SOPs
B. Lead Management
Enter and update all new leads
Qualify leads using scripts
Manage SMS conversations via TextMagick
Assign statuses, tag sources, schedule appointments
Ensure no lead is ever lost or ignored
Maintain long-term follow-up lists
C. Marketing Operations
Manage direct mail campaigns
Pull lists from PropStream
Organize DealMachine exports
Track mail and SMS conversions
Create outreach schedules
Update Monday boards for all campaigns
D. Zapier Automation
Build integrations:
Monday ? TextMagick
Website forms ? Monday
Lead status ? SMS triggers
Direct mail ? follow-up tasks
Troubleshoot Zap errors and maintain uptime
E. Reporting & Admin
Weekly KPI reports
Lead flow summaries
Rehab progress updates
Pipeline snapshots
