REMOTE OPERATIONS DIRECTOR
(Executive-Level | GoHighLevel + Automation Systems + Commercial Cleaning / Facility Operations Required)
Schedule: Monday–Thursday | 8:00 AM – 2:00 PM EST
Type: Full-Time | Long-Term
Tracking: TimeProof required during all working hours
ROLE OVERVIEW
We are hiring a Remote Operations Director to take full ownership of execution, systems, team performance, and profitability across Sales Support, Marketing Systems, and Operations.
This is an executive operations role—not a task-based VA position.
You will be responsible for:
• Building and enforcing structure
• Managing people and performance
• Designing and maintaining automation systems
• Ensuring the company operates efficiently, predictably, and profitably
You will serve as the operational bridge between:
• Cold Callers / SDRs
• Marketing
• Estimating
• Field Operations
You own outcomes, not activity.
CRITICAL REQUIREMENT (NON-NEGOTIABLE)
You must know how to personally build, implement, and troubleshoot automation systems.
This is not a “manage a developer” role.
You are expected to:
• Build workflows yourself
• Fix issues yourself
• Improve systems continuously
PRIOR EXECUTIVE EXPERIENCE (REQUIRED)
This role requires prior senior leadership experience, such as:
• Operations Director
• Head of Operations
• Senior Operations Manager
• Business Operations Lead
• COO / Deputy Operations
You must demonstrate measurable improvements in:
• Organization
• Profitability
• Team performance
• Systems efficiency
• Revenue or contract growth
CORE RESPONSIBILITIES
1) KPI OWNERSHIP & EXECUTION
• Own company KPIs across:
• Sales
• Marketing
• Operations
• Run structured weekly performance meetings
• Identify bottlenecks and underperformance
• Take immediate corrective action
• Deliver executive KPI reports including:
• Metrics
• Gaps
• Root causes
• Action plans
2) OPERATIONS, SYSTEMS & AUTOMATION (BUILD + OWN)
You are responsible for the entire automation and systems infrastructure.
Platforms include:
• GoHighLevel
• Zapier
• Additional tools such as Make (formerly Integromat) or n8n (strongly preferred)
You will:
BUILD (Hands-On)
• Design and build automation workflows from scratch
• Create multi-step logic including:
• Filters
• Paths
• Conditions
• Webhooks
• Build lead routing, tagging, and assignment systems
• Build follow-up automation
• Build deduplication logic before CRM entry
MANAGE & OPTIMIZE
• Maintain and improve all workflows
• Monitor for failures, delays, and data issues
• Optimize for:
• Speed
• Accuracy
• Cost efficiency
• Eliminate manual work wherever possible
SYSTEM ARCHITECTURE
• Design scalable systems that support:
• High-volume lead flow
• Multi-location operations
• Multiple service lines (cleaning + staffing)
• Ensure all systems are:
• Documented
• Reliable
• Easy for the team to follow
TROUBLESHOOTING (CRITICAL)
• Identify and fix:
• Broken automations
• Missing leads
• Duplicate data
• Sync issues
• Implement backup logic and fail-safes
3) TEAM MANAGEMENT & ACCOUNTABILITY
• Oversee remote team execution (4–10+ tea
• Assign tasks and enforce deadlines
• Verify completion and output quality
• Run daily and weekly check-ins
• Maintain performance tracking and documentation
You are not the follow-up person you ensure follow-up happens.
4) PROPOSAL COORDINATION & SUBMISSION
(Not Full Estimating)
• Coordinate with estimators to ensure proposals are:
• Accurate
• Complete
• On-time
• Professionally packaged
• Review:
• Scope
• Pricing summaries
• Compliance documents
• Manage:
• RFPs
• Bid submissions
• Vendor portals
• Maintain organized records:
• COIs
• Safety documents
• Contracts
5) MARKETING & LEAD FOLLOW-THROUGH
• Own all lead follow-up systems inside GHL
• Ensure:
• No lead is missed
• No pipeline is stagnant
• Monitor:
• Speed to lead
• Follow-up compliance
• Conversion rates
• Ensure all inbound and outbound systems are connected and functioning
6) ADMINISTRATIVE, COMPLIANCE & FINANCIAL SUPPORT
• Maintain vendor registrations and compliance deadlines
• Track invoicing, payments, and cost summaries
• Ensure all submissions are accurate and on time
REQUIRED EXPERIENCE & SKILLS
• Advanced experience with GoHighLevel
• Strong hands-on experience with Zapier (multi-step workflows, paths, webhooks)
• Experience building automation systems (not just using templates)
• Experience with Make or n8n (preferred)
• Experience with CRM + automation integration across multiple tools
• Commercial cleaning, janitorial, facility services, or construction admin background
• Proven remote team leadership
• Strong organizational and execution skills
• Executive-level communication
NOT A FIT IF
• You have only used Zapier for basic automations
• You cannot build workflows from scratch
• You rely fully on developers for technical setup
• You do not understand webhooks or data flow
• You prefer task-based work vs ownership
FIRST 90-DAY PERFORMANCE METRICS
• Fully built and documented automation systems (GHL + Zapier + integrations)
• Zero critical lead loss or automation failure
• Weekly KPI reporting across all departments
• Minimum 5 active proposals submitted weekly
• Measurable improvement in:
• Lead response time
• Pipeline movement
• Conversion rates
• Documented system improvements and efficiencies
