JOB OVERVIEW

REMOTE AUTOMOTIVE VIRTUAL ASSISTANT
Lead Follow-Up • Appointment Setting • CRM • Marketplace Management
THE MISSION
Turn conversations into strong appointments, keep every lead organized, respond quickly across every channel, and help the team sell more vehicles — without sacrificing respect, accuracy, or customer trust.
"ALWAYS BE KIND, RESPECTFUL AND STRAIGHT TO THE POINT."
ROLE AT A GLANCE
•  Position: Remote Automotive Virtual Assistant
•  Starting schedule: 25 hours per week — five 5-hour shifts, Monday through Friday
•  Growth opportunity: Potential to move to 40 hours per week, or grow into a lead role helping train a second VA
•  Starting base pay: $4 per hour, plus aggressive performance bonuses (Strong Appointments can make this an easy $10+/hour job): Base pay will go up with great consistent performances. If you can surpass 20 shown appointments for 3 months in a row I will give you a raise to $7/hour + bonuses and an additional training bonus if you wish to take on a lead role where you can have a more flexible schedule and have less stress.
•  Primary outcome: Set qualified test-drive and trade-in evaluation appointments that show up in person to meet with Andy.
•  Tools and visibility: ---------- , camera and screen share throughout the shift, CRM spreadsheets, phone, text, email, and online marketplaces
THE OPPORTUNITY
This is not a passive admin job. It is a customer-facing, performance-based role supporting an experienced automotive salesperson. You will follow up with leads, reconnect with previous customers, identify trade-in opportunities, manage marketplace activity, respond to inquiries, and turn interest into confirmed appointments.
You will start with a 25-hour training and proof period. The goal is to see what you can consistently produce at that schedule before more hours or leadership responsibility are added. Strong performance can create a path to 40–50 hours per week or to helping train a second VA under you.
WHAT YOU WILL BE EXPECTED TO DO EVERY SINGLE DAY
•  Respond quickly and professionally to new inquiries from Facebook Marketplace, Craigslist, OfferUp, email, text, and other approved lead sources.
•  Manage and update vehicle listings so information stays current, accurate, and active.
•  Monitor platform inboxes and other contact channels throughout each shift, then move every useful conversation into the CRM workflow.
•  Call follow-up leads as Andy's personal assistant and ask whether they are still in the market for a new vehicle.
•  Call equity-mining prospects, invite them to learn what their current vehicle may be worth, and determine whether they want to sell it or may consider trading it for a newer model.
•  Offer appointment times for a test drive or trade-in evaluation, confirm the appointment, send reminders, and document the result.
•  Keep customer records complete: contact information, vehicle interest, lead source, status, appointment details, touch type, call outcome, notes, and next follow-up date.
•  Log every completed touch in the Touch Log and keep the latest Touch Count and Call Outcome accurate.
•  Work urgent follow-up first so active leads do not go 72 hours without contact; sold and lost leads are excluded.
•  Communicate with Andy throughout the day in ---------- and ask questions immediately whenever you are unsure.
CALL SCOPE: SET THE APPOINTMENT — DO NOT WORK THE DEAL
Your job is to create a clear next step and get the customer to the dealership. You will follow approved scripts and talking points, but you will not negotiate or discuss:
•  Vehicle pricing or discounts
•  Monthly payments
•  Financing, credit decisions, rates, or approvals
•  Trade values or promises about what a vehicle is worth
•  Any deal term that should be handled by Andy at the dealership
If a customer asks for information outside your scope, acknowledge the question, explain that Andy will handle the details, and redirect the conversation to scheduling the visit.
REQUIRED CONTACT WORKFLOW
1.  Call first.
2.  If there is no answer, leave a voicemail when possible.
3.  Send the approved follow-up text after the call.
4.  Record the attempt, call outcome, notes, and next action in the CRM before moving to the next lead.
5.  The call + voicemail when possible + text sequence counts as one full touch when the customer does not answer.
DO NOT CALL MEANS NEVER CONTACT AGAIN
Non-negotiable: If anyone asks not to be called, immediately set Call Outcome to "DNC!" The lead is removed from the active lead list and moved to the Lost Deal Log with "Do Not Call" as the reason. Do not call, text, email, message, or re-engage that person again.
DAILY OPERATING STANDARDS
•  Be logged into ---------- and ready to work at the start of every scheduled shift.
•  Keep your camera on and continuously share your work screen for the entire shift. This is a monitored role, and accepting the position means agreeing to that requirement.
•  Use a reliable computer, dependable high-speed internet, a working webcam, and a clear headset or microphone.
•  Work from a quiet, professional environment suitable for customer calls.
•  Check all assigned marketplaces, messages, email, and CRM follow-ups throughout the shift — not only once.
•  Protect customer information and use it only for assigned work. Do not download, copy, share, or reuse lead data outside approved systems.
•  Follow the approved scripts, listing standards, follow-up rules, and escalation process.
•  Attend live training sessions on Andy's days off when scheduled. Apply coaching and updated talking points immediately.
•  Ask questions early. Do not guess when a customer request, CRM field, or process is unclear.
SCHEDULE AND GROWTH PATH
•  Training / proof stage: 25 hours per week across five 5-hour shifts, Monday through Friday. The specific daily work window will be agreed before hire.
•  What earns more opportunity: Consistent attendance, fast response, complete CRM records, strong appointments, coachability, and measurable results.
•  Growth path A: Increase to approximately 40 hours per week if the workload, results, and candidate's availability support it.
•  Growth path B: Remain the successful first VA and help train a second 25-hour VA as the team expands.
•  Important: More hours are an opportunity, not an automatic guarantee. Growth follows demonstrated performance and business need.
HOW SUCCESS WILL BE MEASURED
•  Speed and consistency of responses across assigned channels
•  Number and quality of appointments set
•  Appointment show rate
•  Appointments that result in vehicle sales
•  Follow-up completed before leads go stale
•  Accuracy and completeness of CRM entries and touch logs
•  Marketplace listing accuracy and inbox coverage
•  Attendance, punctuality, camera/screen-share compliance, and responsiveness in ----------
•  Ability to follow scripts, respect scope boundaries, and apply coaching
COMPENSATION AND PERFORMANCE BONUSES
The role is designed so greater results create greater earning potential. Current compensation includes:
•  $4 per hour in base pay.
•  $5 for each appointment that shows.
•  A monthly shown-appointment volume kicker using the highest tier achieved: $5 at 10 shown, $6 at 20 shown, or $10 at 30+ shown. Volume tiers do not stack with one another.
•  An additional $1bonus for every shown appointment throughout the month.
•  $50 for each shown appointment that Andy sells a car to.
•  An additional $50 for every three sold appointments in a month. Every 3 appointments sold = *$200 BONUS!
•  A $250 milestone bonus when 10 appointments set by the VA sell in a single month.
Compensation note: The written offer will confirm the final pay rate, bonus definitions, payment schedule, eligibility rules, and how results are attributed before work begins.
TEAM GOALS AND CULTURE
The monthly sales goal is no fewer than 12 car deals. The target zone is 15–20+ deals, where the team's work creates more opportunity for everyone. The mindset is simple: my goals are now our goals, and we win together by using each person's strengths to help the team earn more.
INVENIAM VIAM AUT FACIUM — I SHALL FIND A WAY, OR MAKE ONE.
WHO WILL THRIVE IN THIS ROLE
•  A confident communicator who can sound warm, natural, and direct on the phone.
•  A disciplined follow-up person who does not let leads disappear or tasks sit unfinished.
•  A fast, accurate typist who can talk, listen, take notes, and update a CRM without losing details.
•  Someone comfortable managing Facebook Marketplace, Craigslist, OfferUp, email, text, and similar customer channels.
•  A coachable teammate who can follow a script while sounding friendly, confident and human.
•  A self-starter who asks questions, accepts feedback without defensiveness, and implements it quickly.
•  A trustworthy professional who respects customer data and understands that "DNC!" (Do Not Call) is permanent.
•  Someone comfortable working visibly with camera and screen share on for the full shift.
•  A competitive, high-energy worker who wants earnings to grow with effort and results.
•  A person who can stay kind and respectful even when a prospect is uninterested, frustrated, or difficult.
MINIMUM REQUIREMENTS
•  Strong spoken and written English with clear, easy-to-understand phone communication.
•  Prior experience in outbound calling, appointment setting, sales support, lead generation, customer service, or a similar role.
•  Experience using spreadsheets, web-based inboxes, messaging tools, and a CRM or comparable lead tracker.
•  A computer capable of handling calling, browser tabs, ---------- , CRM spreadsheets, camera, and screen sharing at the same time.
•  Stable high-speed internet, a working webcam, and a noise-controlled headset or microphone.
•  Availability for five consistent Monday–Friday shifts and scheduled live training.
•  Ability to maintain confidentiality and follow written processes exactly.
PREFERRED EXPERIENCE
•  Automotive sales, dealership business development center (BDC), or vehicle lead follow-up
