About the Position
We are seeking a highly experienced, self-directed QuickBooks Online bookkeeper to take ownership of bookkeeping, transaction reconciliation, financial documentation, and job-costing support for our real estate investment company and brokerage.
This is not a basic data-entry position.
The right person will already have strong, hands-on QuickBooks experience and will be able to review financial activity, recognize when something is incorrect or incomplete, investigate discrepancies, and follow through until issues are resolved.
You will receive onboarding for our company-specific processes, but we are not looking for someone who needs foundational QuickBooks or bookkeeping training. You should be comfortable working independently, managing open items, asking informed questions, and providing clear updates without requiring constant supervision.
This role also includes job-costing work connected to our project management software, JobTread, along with general administrative support for our real estate investment and brokerage operations. We will provide training for these responsibilities.
Primary Responsibilities
-QuickBooks Bookkeeping and Reconciliation
-Review, categorize, and verify transactions in QuickBooks Online.
-Reconcile bank accounts, credit cards, vendor activity, and other financial accounts.
-Identify duplicate, missing, incorrectly categorized, or questionable transactions.
-Research reconciliation differences rather than forcing an account to balance.
-Review receipts, invoices, bills, statements, and supporting documentation.
-Maintain an organized list of transactions that require clarification or additional documentation.
-Correct bookkeeping errors and document the reason for any changes.
-Pull QuickBooks reports and transaction details for management review.
-Provide clear summaries of unresolved items, discrepancies, and recommended next steps.
-Keep records organized, accurate, and current.
-Receipt, Invoice, and Vendor Follow-Up
-Identify transactions that are missing receipts, invoices, or other supporting documents.
-Contact vendors, retailers, department stores, and tea
-Make professional outbound phone calls when documentation cannot be obtained by
-Clearly explain the transaction, date, amount, account, and documentation being requested.
-Follow up consistently until the requested documentation is received or the issue is escalated.
-Keep detailed notes regarding calls,
Job Costing and JobTread Support
-Help maintain accurate job-costing information between QuickBooks and JobTread.
-Confirm that project-related expenses are assigned to the correct job and cost category.
-Review project expenses for missing, duplicate, or inconsistent information.
-Compare information between QuickBooks, JobTread, invoices, receipts, and vendor records.
-Research and resolve discrepancies affecting job-cost and project profitability reporting.
-Pull JobTread reports and supporting project information as requested.
-Help maintain accurate vendor, project, and financial records across both systems.
-Real Estate and Brokerage Administrative Support
-Complete accurate data entry in company systems, spreadsheets, and databases.
-Pull, organize, and distribute reports.
-Maintain digital files and supporting documentation.
-Update transaction, vendor, property, project, and company records.
-Assist with non-licensed administrative work for our real estate investment company and brokerage.
-Help with additional reporting, research, and administrative assignments as business needs arise.
Required Qualifications
-At least three years of hands-on QuickBooks Online bookkeeping experience, with advanced experience strongly preferred.
-Proven responsibility for bank and credit-card reconciliations—not only transaction entry.
-Experience investigating and correcting bookkeeping discrepancies.
-Strong understanding of transaction categorization, supporting documentation, and accounting records.
-Experience with job costing, construction accounting, project-based accounting, or a similar financial workflow.
-Ability to communicate professionally with vendors, retailers, and tea
-Ability to understand and follow detailed written and verbal instructions.
-Strong research, problem-solving, and analytical skills.
-Ability to work independently and take ownership of assignments.
-Strong attention to detail and commitment to accuracy.
-Ability to manage multiple open items and follow through without repeated reminders.
-Proficiency with Microsoft Excel or Google Sheets.
-Professional judgment when handling confidential financial and business information.
