JOB OVERVIEW

Job Overview

We are looking for a detail-oriented and organized Purchasing Assistant to support our purchasing and procurement operations.

You will assist with supplier communication, purchase orders, pricing and product information, shipment coordination, and purchasing records. The ideal candidate is comfortable working with spreadsheets, communicating with suppliers, and following up on multiple orders and deadlines.

Key Responsibilities:
- Assist with day-to-day purchasing and procurement activities.
- Communicate with suppliers regarding product availability, pricing, lead times, order quantities, and shipment status.
- Prepare, issue, and maintain purchase orders (POs).
- Follow up with suppliers to ensure orders are processed and shipped according to schedule.
- Compare supplier quotations, pricing, MOQs, lead times, and other purchasing terms.
- Maintain accurate purchasing records, supplier information, invoices, and order documentation.
- Monitor outstanding purchase orders and provide regular updates on their status.
- Coordinate with internal teams regarding inventory requirements, incoming stock, and purchasing priorities.
- Identify and follow up on delayed, incomplete, incorrect, or damaged orders.
- Assist with sourcing new products and suppliers when required.
- Update purchasing and inventory trackers using Excel or Google Sheets.
- Perform other purchasing and administrative duties as assigned.

Requirements:
- Previous experience in purchasing, procurement, supply chain, inventory, eCommerce, or a related administrative role is preferred.
- Good written and verbal communication skills in English.
- Comfortable using Microsoft Excel or Google Sheets.
- Strong attention to detail and accuracy.
- Good organizational and follow-up skills.
- Able to manage multiple purchase orders and deadlines simultaneously.
- Able to communicate professionally and confidently with suppliers.
- Responsible, proactive, and able to work with minimal supervision.

Preferred Qualifications:
- Experience communicating with overseas or China-based suppliers.
- Experience with platforms such as Alibaba, 1688, or other supplier sourcing platforms.
- Experience with inventory management or ERP systems.
- Familiarity with international purchasing, shipping, and basic import/export processes.
- Experience working in an eCommerce or retail environment.
