Job Title: Property Portfolio Operations, Lettings and Compliance Manager
Location: Remote (Philippines-based)
Salary: £550 - £600 GBP/month (Depending on Experience)
Hours: Full-Time (40 hours/week) | 8 AM - 5 PM UK Time (with one hour for lunch)
About the Role
We are a rapidly scaling UK property investment company specializing in the Buy-Renovate-Refinance (BRR) strategy in Leeds. We are seeking a highly reliable and meticulous Property Portfolio Operations, Lettings and Compliance Manager to take full ownership of our management operations and drive our acquisition pipeline.
This is a critical, high-accountability role. You will be the engine ensuring zero administrative errors, protecting our compliance, and ensuring positive communication across all stakeholders. Your success directly enables the Managing Director (CEO) to focus on high-value acquisition and strategic growth.
Core Responsibilities: Property Management (Approx. 30-50% Time)
Your primary objective is to manage the portfolio to a standard where compliance is always met, cash flow is protected, voids are minimised and the CEO is never required to chase an administrative task.
Tenant Find Management (Critical Focus):
Own the high volume of daily tenant enquiries across all listing platforms like Openrent, Hello Neighbour,
Marketing and Advertising: Listing, marketing, and advertising the properties across all relevant portals.
Efficiently triage and filter leads, scheduling viewings with our local, on-demand viewing agent in Leeds.
Maintain a warm, professional, and solutions-focused communication style.
Tenancy Onboarding & Compliance:
Coordinate the full tenancy setup process (including reference checks) and draft all Tenancy Agreements and other company agreement following detailed SOPs.
Ensure all necessary compliance documents are served correctly and on time.
Managing the deposit protection process, including the timely registration of the tenant's deposit with a compliant scheme.
Tenancy Changeover: Notifying utility providers and council tax departments of new/departing tenant details.
Maintenance & Repair Coordination:
Log, triage, and schedule maintenance and repair tasks for properties.
Manage and follow up on all requests until completion.
Financial & Administrative:
Perform rent checks, review payments, and conduct reconciliation.
Manage and process invoices for maintenance/contractors.
Secondary Core Responsibilities: Property Acquisition Support (Approx. 50-70% Time)
You will use your remaining time to support the CEO's goal of securing 10-12 BRR properties this year.
Market Research & Analysis: Efficiently screen property listings against our specific BRR criteria and perform initial property analyses/calculations using our proprietary tools and AI platforms.
Data Entry & Pipeline: Accurately input potential property data, maintaining an up-to-date pipeline of leads.
Viewing Logistics: Scheduling property viewings with local estate agents and coordinating the Managing Director's diary for optimal efficiency.
Offer Documentation Support: Preparing all documentation required for final offer submission and refinancing.
The Non-Negotiable Requirements (Skill & Temperament)
Impeccable Reliability & Ownership: Must have a proven track record of taking 100% ownership of tasks and deliverables. You must be able to work independently without requiring follow-up or chasing from the MD.
Exceptional People Skills and Polish: You must be naturally positive, polite, and warm in all professional interactions. An argumentative or defensive approach is not suitable for our team dynamic.
Resilience to Feedback: Must be able to handle direct and critical feedback gracefully and professionally.
Meticulous Attention to Detail: A high degree of accuracy is non-negotiable for compliance, legal documentation, and financial data entry.
UK Real Estate Experience: Familiarity with UK lettings, compliance, and tenancy documentation is highly advantageous.

MANDATORY ONBOARDING & TRAINING REQUIREMENT
All successful candidates who receive a formal offer must undergo a structured training program developed by the CEO, regardless of prior experience.
This mandatory training period (including recorded modules (6 hours) and SOPs) and the final compliance test will be completed on the candidate's own time and is unpaid. Passing the final test (score of 90% or higher) is a non-negotiable condition of the final employment offer.
