We're a growing Australian property renovation and investment business. We buy, renovate and resell residential properties, and we're looking for a highly organised Property Operations & Executive Assistant to become a key part of our business.
This is a hands-on, long-term role for someone who loves organisation, follow-through and getting things done. You'll work directly with the owner across property acquisition, renovation projects, administration and marketing.
We're looking for someone who doesn't just complete tasks — you notice what's outstanding, follow things through, and help keep the business moving.
WORKING HOURS: Monday–Friday, full-time, aligned to Brisbane, Australia business hours (approx. 6:30 AM – 3:30 PM Manila time).
Please note: this role includes daily phone calls to Australian real estate agents, so confident, clear spoken English and comfort on the phone are essential.
You'll work across four areas:
1) OPERATIONS & PROJECT COORDINATION (the core of the role)
- Start each day by working through a prepared report — reply to or action flagged
- Maintain task lists and follow-ups across several active property projects at once
- Proactively chase outstanding quotes, documents, deliveries and responses rather than waiting to be reminded
- Coordinate renovation projects: book quotes and trades (as directed), order materials, and track deliveries
- Coordinate sale preparation: book photographers, stylists, cleaners, floorplans and agents
- Collect and organise compliance documents (trade licences, insurances, smoke-alarm certificates, warranties)
- Liaise with solicitors, and handle council, utility and body-corporate admin as needed
- Keep project information, documents and correspondence organised and easy to retrieve
2) AGENT RELATIONSHIPS & PROPERTY LEAD GENERATION
- Call our database of real estate agents on a regular cycle to maintain relationships and uncover off-market, pre-market and renovation opportunities
- Keep accurate notes and follow-up dates in the CRM
- Identify promising opportunities and escalate them to the owner quickly
- Follow up consistently so opportunities don't slip away through lack of contact
3) PROPERTY / DEAL SCREENING
- Run a quick feasibility on potential properties using our simple in-house tool
- Pull comparable-sales (CMA) reports using our property-data login
- Package the numbers into a clean summary for the owner to review
4) CONTENT & SOCIAL MEDIA
- Turn supplied project footage into simple, polished reels using our established templates
- Captions, hooks and text-overlay direction are provided through our existing AI system
- Schedule approved content across our business and personal accounts (daily posting)
- Maintain an organised content library of project footage, before/afters and completed assets
WHO WE'RE LOOKING FOR
- Proactive and resourceful — if something is outstanding, you'll chase it, solve it, or bring it to our attention rather than waiting to be asked
- Strong attention to detail — names, numbers, dates and documents need to be accurate
- Excellent spoken and written English — you're comfortable calling and speaking with Australians every day
- Confident on the phone; not afraid of relationship/outreach calling
- Highly organised and reliable — you follow through and nothing slips through the cracks
- Comfortable juggling several projects and priorities at once
- Real estate, property or construction admin experience is a strong advantage
- Social media / basic reel editing (CapCut or similar) and scheduling experience
- Good with
- Trustworthy with sensitive financial and business information

COMPENSATION: USD $1,000–$1,300/month depending on experience, with formal performance and salary reviews as the role develops.
