Virtual Assistant — Property Management

Position Overview
We are seeking a reliable, detail-oriented Virtual Assistant with property-management experience and good written and spoken English.
The ideal candidate is a proactive reliable problem-solver who can work independently, exercise good judgment, and take ownership of maintenance and tenant requests. We need someone who can think through scheduling, urgency, cost, and tenant impact—not simply follow instructions.

Responsibilities
Receive, organize, and respond to tenant maintenance requests
Assess the urgency of requests and determine appropriate next steps
Coordinate vendors, maintenance technicians, tenants, and property managers
Schedule repairs and confirm appointments
Obtain, review, and compare estimates when appropriate
Follow up until every issue is completely resolved
Keep tenants informed through clear and professional communication
Research vendors, products, pricing, and possible solutions
Consider cost, quality, scheduling, and operational tradeoffs
Create and update work orders in Buildium
Maintain accurate notes, invoices, records, and task statuses
Escalate emergencies and significant expenses appropriately
Identify recurring property issues and recommend improvements
Assist with leasing, administrative, and property-management tasks as needed

Qualifications
Previous property-management experience is required
Fluent written and spoken English
Excellent attention to detail and organizational skills
Strong tenant and vendor communication
Ability to prioritize multiple requests and meet deadlines
Comfortable working independently with limited supervision
Strong research, judgment, and problem-solving abilities
Able to evaluate alternatives and recommend practical solutions
Reliable internet connection and professional remote workspace
Experience with Buildium is strongly preferred
Familiarity with Slack, Quo, Notion, and similar tools is helpful
Availability during agreed-upon U.S. Eastern Time working hours

Tenant requests are acknowledged promptly and professionally
Emergencies are identified and escalated immediately
Routine maintenance is scheduled efficiently
Vendors and tenants receive consistent follow-up
Work orders are tracked through final completion
Decisions reflect a sensible balance of cost, quality, and speed
Property records remain accurate and current
Problems are presented to management with potential solutions
The property-management team can rely on you without constant supervision
