ABOUT THE ROLE
Launch Property Management is looking for a dependable, proactive Virtual Assistant to own day-to-day digital communication for a growing residential property portfolio in Massachusetts.
This is not a basic data-entry position. You will be the first point of contact for tenants, property owners, prospective tenants, and service vendors. Your job is to communicate professionally, keep every issue moving, document what happened, and escalate the right matters to the property manager.
PRIMARY RESPONSIBILITIES
• Monitor our Launch property-management app during scheduled reply sprints
• Respond professionally to tenant and owner questions by text, email, and phone
• Respond to leasing leads, answer routine property questions, follow approved screening guidelines, and coordinate showings
• Receive maintenance requests and gather the information, photos, videos, and access details needed
• Create and update maintenance work orders
• Call vendors, request availability and quotes, schedule appointments, and confirm access
• Follow up persistently with tenants and vendors until work is completed
• Keep every conversation and work order updated with notes, next action, responsible person, and follow-up date
• Confirm completion with tenants and record the outcome
• Provide a concise weekly report of completed, waiting, blocked, and urgent items
• Escalate emergencies, sensitive owner matters, legal questions, applicant decisions, and expenses requiring approval
WHAT SUCCESS LOOKS LIKE
• Residents, owners, and leads receive timely, clear, and warm responses
• No maintenance request or conversation is forgotten
• Every open issue has a documented next step and follow-up date
• Vendors are followed up with without the owner having to remind you
• Records in Launch are complete enough that another team member can immediately understand what is happening
• You solve routine problems independently while knowing when to escalate
REQUIREMENTS
• Excellent written and spoken English
• Confident and professional on phone calls with U.S. tenants, owners, and vendors
• Prior property-management, real-estate, leasing, hospitality, or customer-service experience
• Strong judgment, organization, and follow-through
• Comfortable learning a new property-management/CRM system
• Reliable internet, quiet calling environment, and dependable attendance
• Availability for scheduled coverage during U.S. Eastern Time
• Comfortable with some weekend coverage as part of an agreed rotating schedule
• Spanish is not required
SCHEDULE AND COMPENSATION
• Long-term, part-time role
• Approximately 20 hours per week
• Several scheduled communication/reply sprints during U.S. Eastern Time rather than continuous on-call availability
• Paid 30-day trial
• $500–$700 USD per month depending on relevant experience, communication ability, and schedule availability
• Opportunity for increased responsibility and compensation as the portfolio grows
HOW TO APPLY
Begin your application with the word LAUNCH.
Please include:
1. Your property-management, leasing, or customer-service experience
2. The property-management or CRM systems you have used
3. Your experience speaking with U.S. tenants, customers, and service vendors by phone
4. Your availability in U.S. Eastern Time and whether you can provide some weekend coverage
5. A 60–90 second voice introduction
6. Your response to this situation:
A tenant reports that water is coming through the ceiling. Explain exactly what you would say to the tenant, what information you would collect, what actions you would take, and when you would escalate it.
We are looking for someone who thinks: “I saw the issue, followed up, documented what happened, and made sure it reached a resolution”—not simply, “I sent a message.”
