JOB OVERVIEW

Overview

We are a growing U.S. property management company seeking a full-time Operations Virtual Assistant to support leasing activities, portfolio workflows, and internal operations.

This role focuses on managing leasing processes, tracking operational workflows, and supporting portfolio management tasks across multiple properties.

Candidates with property management experience will receive priority consideration.
Experience with AppFolio is a major advantage.

Key Responsibilities

Leasing Coordination

Respond to rental inquiries from listing platforms

Schedule property showings

Follow up with prospective tenants

Track incoming rental applications

Prepare lease agreements

Monitor and track lease signatures

Coordinate lease start dates and documentation

Lease Renewal Management

Monitor upcoming lease expirations

Prepare renewal notices and lease addendums

Track tenant responses to renewal offers

Maintain organized lease documentation

Portfolio Operations

Monitor operational task queues across the property portfolio

Track leasing progress and property availability

Coordinate scheduling related to inspections and leasing activities

Maintain organized property records and documentation

Workflow Management

Track key operational workflows across multiple properties

Ensure internal tasks are completed on schedule

Maintain accurate records within property management systems

Flag operational issues or delays to management

Work Schedule

Full-time position

Monday – Friday

8:00 AM – 5:00 PM Pacific Time (U.S.)

Applicants must be available during these hours.

Preferred Experience

Applicants with the following experience will be prioritized:

Property management experience

Experience using AppFolio

Leasing coordination or real estate operations

Lease documentation and renewals

CRM or task management systems

Compensation & Performance Bonuses

In addition to hourly pay, the role includes performance-based bonuses tied to completed operational tasks and milestones.

Signed lease agreements

Inspection coordination

Operational workflow completion
