About Ruach Industries
At Ruach Industries, we're pioneering factory-manufactured residential homes that merge design, technology, and quality construction. Based in Brisbane, Australia, we deliver complete home solutions from design and approvals through to manufacturing, delivery, and installation. We're growing fast and need someone who can take ownership of project delivery, client communication, approvals coordination, and cost management.
Role Overview
This is a combined Project Manager and Quantity Surveyor role. You'll manage approximately 20–25 active client projects while handling the practical details that keep each project moving: client updates, contracted scope, approvals paperwork, certifier and consultant coordination, production and shipping confirmation, project tracking, handovers, quantity take-offs, and cost control. Clients must receive timely, reliable information, and dates or commitments must never be communicated without supporting evidence.
Project Ownership & Client Communication
Reply to every client enquiry or message within one business day, even if the full answer is not yet available. Acknowledge it and explain the next step if a resolution is pending.
Send every active client a written project update every Friday, covering progress, completed actions, outstanding items, risks, and next steps.
Maintain a clear, current record of each project’s status, commitments, and next actions.
Know each client’s contracted scope line by line by checking their invoice and supporting documents before answering questions or making commitments.
Ensure advice accurately reflects Ruach’s agreed scope, including approvals, plumbing applications, documentation, delivery, and installation where contracted.
Follow up internally on unanswered questions and keep clients informed rather than letting issues sit unresolved.
Approvals & Third-Party Coordination
Manage the full approvals paperwork chain, including sending forms and engagement agreements through DocuSign, tracking signatures, and following up until complete.
Coordinate with certifiers, engineers, surveyors, energy assessors, plumbing consultants, and other third parties.
Track third-party invoices and ensure they are submitted for payment and paid within five business days, subject to the company’s payment and approval process.
Maintain an approvals checklist for every project, including required forms, responsible parties, submission dates, payment status, and outstanding actions.
Track approvals milestones, escalate delays, and keep clients informed of the actual status.
Keep signed agreements, submitted forms, reports, invoices, payment confirmations, and correspondence organised and accessible.
Queensland Approvals & Compliance
Understand the Queensland approvals pathway, including the distinction between Development
Approval (DA) and Building Approval (BA).
Be familiar with DA Form 2, landowner consent, certifier engagement, Forms 12, 15, 16, 43 and 21
(Final Inspection Certificate), plumbing approvals, and wind classifications.
Coordinate documentation with clients, landowners, certifiers, councils, and consultants, tracking requirements through to completion.
Identify missing documents and confirm technical or regulatory questions with the relevant qualified professional.
Strong knowledge of Queensland residential building approvals is strongly preferred.
Candidates without direct experience must demonstrate the ability to learn the process quickly and follow documented procedures accurately.
Production, Shipping & GTM Accuracy
Never give a client a delivery date unless supported by confirmed production information, shipping evidence, or written confirmation from the responsible team.
Clearly distinguish estimated, target, and confirmed dates in project records and client communications.
Verify production orders against the client’s contract, invoice, approved specifications, and selections before submission.
Keep GTM accurate and current, including client details, contracted scope, production order information, approvals status, dates, and project notes.
Cross-check order details before finalisation and promptly correct discrepancies. Record who confirmed key dates and order details and when.
Coordinate production, transport, site readiness, delivery, and installation dependencies; escalate risks before they become missed commitments.
Quantity Surveying & Cost Control
Prepare quantity take-offs from architectural drawings, engineering plans, and project specifications.
Prepare bills of quantities (BOQs), cost estimates, cost breakdowns, and project budgets.
Estimate material, labour, subcontractor, transport, footing, site preparation, and installation costs.
Request, review, and compare supplier and subcontractor quotations, checking quantities, inclusions, exclusions, and assumptions.
Monitor actual and committed costs against budgets, identify potential overruns, and provide clear cost updates to management.
Assess variations, prepare supporting cost breakdowns, and maintain records of approvals and commercial commitments.
Support feasibility assessments, pricing decisions, cost forecasting, and improvements to estimating and cost-control processes.
Project Records & Handover
Write and maintain a clear handover note for every project whenever responsibility changes, including leave, resignation, reassignment, or internal handover.
Include contracted scope, client contacts, current status, latest client update, approvals and payment status, production/shipping evidence, key dates, outstanding actions, risks, and next steps.
Keep project files organised so another team member can take over without reconstructing history from
Record important communications, decisions, commitments, variations, and follow-up actions in the designated systems.
Maintain a visible action list with an owner and due date for every outstanding item.
Qualifications
Relevant experience in project management, construction coordination, quantity surveying, or
construction estimating.
Experience in residential construction, modular buildings, property development, or manufacturing is
strongly preferred.
Ability to interpret architectural drawings, engineering plans, and construction specifications.
Experience preparing quantity take-offs, BOQs, cost estimates, budgets, and variation assessments.
Queensland approvals knowledge is strongly preferred, particularly DA versus BA, DA Form 2,
landowner consent, certifier engagement, Forms 12, 15, 16, 43 and 21 (Final Inspection Certificate),
plumbing approvals, and wind classifications.
Excellent written and spoken English, including confident phone and
Australian clients, contractors, certifiers, and consultants.
Highly organised, detail-oriented, persistent with follow-ups, and comfortable managing many active
projects.
Strong spreadsheet skills and proficiency with Google Workspace, project tracking systems, and
estimating or quantity surveying tools.
Able to work full Brisbane business hours, approximately 6:00 am–3:00 pm Philippine time.
Able to work independently, manage competing priorities, keep records accurate, and escalate issues
early.
