Position Overview:
We are seeking a highly proactive and experienced Project Manager to keep the execution engine of the organization running. This role sits inside the President and CEO's meeting cadence, owns follow-through on every action item across the business, and drives cross-functional execution between leadership and the teams delivering the work.
This is a high-impact, fully remote role requiring someone who can operate independently, manage competing priorities, and communicate effectively in an asynchronous environment. The ideal candidate brings 7+ years of experience in a senior operating, project management, chief of staff, or executive business-partner role, with full overlap with U.S. business hours — standard schedule is 8:00 AM–4:30 PM CST, Monday–Friday, though this may shift based on executive needs.
Success in this role looks like nothing falling through the cracks: every decision reaches a documented conclusion, every open loop is tracked to closure, and every meeting opens with a clear readout of what's done, what's pending, and what's overdue.
Key Responsibilities:
• Attend business and functional leadership meetings led by the President and CEO, serving as an embedded partner in the day-to-day operating cadence
• Review meeting transcripts and recordings for accuracy and clarity on follow-up items and open action items
• Own action items through to completion across all responsible stakeholders, driving accountability across the organization
• Drive follow-up and decisions to specific, documented conclusions rather than leaving items open-ended
• Codify outcomes and prepare readouts for subsequent meetings, ensuring continuity across the leadership meeting cadence
• Open each meeting with a status readout covering closed items, open loops, and anything past due
• Coordinate cross-functionally between executive leadership and the development/operations teams, and support the transition of legacy operating practices into AI-supported workflows
• Partner with product managers and cross-functional leaders across the business to align priorities and drive follow-through, extending beyond the immediate development team
• Balance strategic and tactical execution — operate at the level of executive intent while also driving the granular, day-to-day follow-through needed to close items out
• Exercise discretion and sound judgment when handling confidential or sensitive business information encountered through leadership meetings and communications
• Represent executive leadership's priorities and intent when following up with stakeholders, ensuring alignment without requiring constant direct input
• Additional tasks as assigned
Required Qualifications:
• 7+ years in a senior operating, project management, chief of staff, or executive business-partner role
• Experience directly supporting C-suite or founder-level executives in a fast-moving business environment; healthcare/compliance exposure a plus, not required
• Proficiency with Microsoft Office/Google Workspace, project/task tracking software, and comfort working with AI-based meeting and transcription tools
• Bachelor's degree preferred; equivalent experience accepted
• Demonstrated ability to balance strategic thinking with tactical, detail-level execution
• Strong executive presence and communication skills, with experience interacting directly with senior leadership
• High discretion and sound judgment handling confidential information
• Comfortable operating with autonomy and ambiguity, driving outcomes without close supervision
• Must maintain full overlap with US business hours (8:00 AM–4:30 PM CST standard, subject to change)
Nice-To-Have:
• Prior experience in a senior project management or chief-of-staff-style capacity at a growing or founder-led company, working closely with executive leadership
• Familiarity with AI-driven operating tools and workflow automation
Compensation & Benefits:
• $14.00/hr rate, based on experience — no commission structure
• Permanent work-from-home
• 40 hours per week, aligned with U.S. business hours (CST, graveyard shift).
• Fixed weekends off (Saturday & Sunday)

• No work with pay on US Holidays
• Paid Leaves after 6 months of employment
