About DVRG
DVRG is a marketing agency based in Tacoma, Washington. We build done-for-you video ad systems for service businesses across the Pacific Northwest — plumbers, painters, tree care companies, RV dealers, and similar operators doing $50k+ a month. Our system covers scripting, professional actors, filming, editing, and running the Meta ad campaigns that put the videos in front of buyers.
We run lean and move fast. Everything is coordinated through Notion, Slack, Google Drive, and Zapier, and we're looking for someone who can own the moving parts so nothing falls through the cracks.
About the Role
We need a Project Manager / Executive Assistant who can run our Notion project dashboard end to end and support the founder with day-to-day operations. This is a PM-leaning role: you're the person who knows the status of every client project at any given moment, keeps timelines on track, and makes sure deliverables move from scripting to filming to editing to ad launch without delays.
You'll also handle admin and ops support for the founder — calendar, inbox triage, scheduling, and keeping the day organized.
What You'll Do
Own and maintain the Notion project dashboard for every active client
Track each project's status across scripting, filming, editing, and ad launch, and flag anything that's falling behind
Coordinate timelines and handoffs between team members (writers, videographers, editors, media buyers)
Keep client project pages organized and up to date, following our existing Notion structure and conventions
Manage the founder's calendar, inbox, and scheduling
Triage and respond to routine messages in Slack and email
Set up and track recurring tasks, deadlines, and follow-ups
Join internal check-ins to report project status and surface blockers
Help onboard new clients and new team members into our project systems
What We're Looking For
We're hiring on demonstrated ability, not years on a resume. Years of experience or a list of past titles won't move you forward on their own — showing us you can actually do the job will.
You can prove you're organized: a real Notion dashboard you built, a project you ran, a system you set up — something we can look at, not just a claim
Excellent written English and clear, proactive communication — you flag problems before you're asked, not after
Comfortable owning deadlines across multiple projects at once without someone checking in on you
Confident picking up new tools fast (Notion, Slack, Google Drive, GoHighLevel) — we care less about which specific tool you've used before and more about how quickly you get sharp on a new one
Able to work independently and make good judgment calls without hand-holding
Comfortable with a direct, no-fluff communication style — we get straight to the point
How to Apply
This role is a skills test, not a resume review. To be considered, submit:
A short Loom (or written walkthrough) of a real project/dashboard you've managed — show us how you organized it, not just a screenshot
A completed test task (we'll send a short, real scenario — expect to spend 30–60 minutes on it)
Your availability and preferred working hours
Your expected monthly salary
Generic cover letters and applications with no proof of work will be skipped. We're paying close attention to how you follow instructions in this application — that's part of the test.
