The Role

We are seeking a Client Task Management Assistant with 3+ years of project management experience who can not only manage but also build out our internal systems from the ground up. This full-time role (Monday–Friday, 9:00 AM–5:00 PM Mountain Time, U.S.) will be responsible for introducing, implementing, and managing project management software to track and execute deliverables across all client accounts. You’ll work directly with leadership to establish workflows, ensure accountability, and create scalable systems that support our agency’s rapid growth.

Key Responsibilities

~ Research, recommend, and implement the best project management software for our agency.

~ Build out project management systems, workflows, and task-tracking processes from scratch.

~ Manage client deliverables across all accounts, ensuring deadlines are met.

~ Assign, track, and follow up with tea ---------- mbers on task completion.

~ Work closely with leadership to organize, prioritize, and oversee execution of client tasks.

~ Attend client and internal calls, take detailed notes, and convert them into actionable tasks.

~ Maintain organized records of client projects, timelines, and status reports.

~ Provide leadership with clear reporting on task progress and potential bottlenecks.

Requirements

~ 3+ years of proven project management experience with expertise in building systems and workflows.

~ Deep familiarity with project management tools (ClickUp, Asana, Monday, or similar).

~ Strong problem-solving and organizational skills, with the ability to design efficient systems.

~ Excellent written and verbal communication abilities.

~ Experience managing multiple projects or clients simultaneously.

~ Ability to collaborate directly with leadership and hold teams accountable.

~ Full-time availability, Monday–Friday, 9–5 Mountain Time (U.S.).
