PROGRAM OPERATIONS COORDINATOR
Location: Remote
Employment: Full-Time
Schedule: Monday-Friday, with overlap with U.S. business hours as required

ABOUT THE ROLE
We are looking for a highly organized and proactive Program Operations Coordinator to support the day-to-day administration of our Camps and IFPA programs.
This role is ideal for someone who is detail-oriented, comfortable managing multiple schedules and workflows, and confident communicating with venues, instructors, candidates, and internal team members.
The Program Operations Coordinator will be responsible for keeping programs organized, schedules accurate, records up to date, and outstanding requirements moving forward.
KEY RESPONSIBILITIES
CAMPS
Coordinate camp dates, venues, instructors, and scheduling requirements.
Maintain accurate and up-to-date camp schedules.
Verify court availability and required facility information.
Confirm locations meet program requirements.
Review and validate prospective camp venues.
Communicate with venues to collect required information.
Track venue approvals and outstanding requirements.
Identify scheduling conflicts or missing information before they impact a camp.
IFPA
Support day-to-day IFPA program administration.
Maintain accurate program records and documentation.
Communicate with candidates regarding requirements and next steps.
Follow up on missing information and required actions.
Coordinate candidate and program scheduling.
Maintain accurate calendars and scheduling records.
Track candidates, deadlines, outstanding tasks, and program status.
Escalate issues requiring additional support.
WHAT WE'RE LOOKING FOR

Ability to manage multiple projects and deadlines.
Comfortable working independently and taking ownership of assigned responsibilities.
Experience with spreadsheets, calendars, project-management systems, and online communication tools.
Reliable internet connection and professional remote-work environment.
PREFERRED EXPERIENCE
Operations, administrative coordination, scheduling, or program support experience.
Experience supporting a U.S.-based company or working across time zones.
Experience with Asana or similar project-management software.
Event, venue, training program, or multi-location coordination experience is a plus.
