Break: One hour, scheduled flexibly without delaying customer responses
Key Responsibilities
Customer Service and Appointment Booking
Respond promptly to inquiries received through SMS, Instagram,
Qualify prospective customers and guide them toward booking a service
Schedule appointments directly in the company calendar
Follow up with missed leads, unanswered inquiries, and pending quotes
Maintain a friendly, professional, and persuasive communication style
Ensure no customer messages are overlooked
Lead Follow-Up
Re-engage previous leads and prospects who stopped responding
Use company-provided scripts to restart conversations
Follow up consistently and professionally
Encourage qualified prospects to schedule an appointment
Record accurate lead notes and updates in the CRM
Social Media Support
Respond to social media comments and direct messages daily
Engage appropriately with followers
Maintain the company’s professional, helpful, and luxury-focused brand voice
Help keep the company’s social media accounts active and responsive
Content Editing and Scheduling
Edit short-form videos using CapCut
Add captions, hooks, and clean transitions
Upload and schedule content using Buffer
Prepare approximately one to two posts per day, or as assigned
Review scheduled content to ensure accuracy and consistency
Daily Workflow
At the beginning of the shift:
Check all inboxes and communication channels
Respond to overnight messages
Review the day’s scheduled posts
Throughout the shift:
Respond to incoming inquiries within 5–10 minutes
Qualify leads and book appointments
Edit and prepare social media content
Follow up with prospective customers
At the end of the shift:
Confirm that all messages have been answered
Review the following day’s scheduled content
Update CRM notes
Submit an end-of-day report covering leads handled, appointments booked, and any issues requiring attention
Required Qualifications
Previous experience in virtual assistance, customer service, appointment setting, lead generation, sales support, or social media management
Excellent written and spoken English
Strong customer-service and sales communication skills
Ability to respond to inquiries quickly during scheduled hours
Comfortable following up with leads and encouraging them to book
Basic short-form video-editing experience
Strong organization and attention to detail
Ability to learn new tools, processes, and scripts quickly
Dependable, proactive, and comfortable working independently
Reliable computer, internet connection, backup internet, and backup power
Available to work the full Tuesday–Saturday Pacific Time schedule
Platforms Used
GoHighLevel for customer communication, CRM, and pipeline management
Buffer for social media scheduling
CapCut for short-form video editing
Google Drive for media files and content assets
Candidates should be able to become comfortable with these platforms within the first 7–10 days.
Performance Expectations
Success in this role will be measured through:
Appointments booked each week
Lead-response time of less than 5–10 minutes during working hours
Consistent follow-up with prospective customers
Daily responses to comments and direct messages
Accurate and organized CRM updates
Reliable completion of edited and scheduled content
Overall quality of the customer experience
Trial Period
The selected candidate will complete an initial two-to-four-week trial period that includes training on company tools, communication scripts, workflows, and brand standards.
