We are an established residential home services company based in the Minneapolis–St. Paul area of the United States, and we are looking for an exceptional Production Operations Manager to take ownership of the day-to-day logistics behind our projects.
This is not a basic virtual assistant position. We are looking for someone who is highly organized, proactive, comfortable making decisions, and capable of managing a constantly changing production schedule without needing to be told what to do every step of the way.
You will work remotely but will be responsible for coordinating U.S.-based subcontractor crews, customers, schedules, field staff, and production systems. This is a key operational role within the company, and we are looking for someone who wants to become a long-term part of the business.
PRIMARY RESPONSIBILITIES
• Schedule projects and coordinate job starts
• Coordinate subcontractor crews and maintain an accurate production schedule
• Create, send, and manage work orders
• Recruit, screen, and onboard new subcontractors
• Maintain an active subcontractor roster and track availability
• Continuously build a strong pipeline of qualified subcontractors
• Make sure we have enough production capacity for upcoming work
• Monitor projects from scheduling through completion
• Solve day-to-day production and scheduling problems
• Communicate with subcontractors, customers, salespeople, and field staff
• Keep our CRM accurate and up to date
• Track project status, delays, issues, and completion
• Coordinate warranty work, punch-list items, and smaller service projects
• Coordinate with U.S.-based field staff and help ensure they are being utilized efficiently
• Coordinate quality-control visits and project inspections
• Follow up on outstanding production issues until they are fully resolved
• Build and improve systems and processes that make production easier to manage and scale
A major part of this role will be recruiting and managing our subcontractor network. We do not view recruiting as something that should only happen when we urgently need additional workers. The Production Operations Manager should continuously develop relationships with qualified subcontractors so we have enough capacity as production volume changes throughout the year.
WHO WE ARE LOOKING FOR
We are looking for someone with previous experience in operations, construction, home services, property management, logistics, dispatching, project coordination, or a similar environment.
The ideal candidate:
• Is extremely organized and detail-oriented
• Can manage many projects and moving pieces at the same time
• Is comfortable making decisions and solving problems independently
• Communicates extremely well in written and spoken English
• Is confident communicating with U.S. customers, contractors, and field workers
• Is comfortable holding people accountable
• Takes ownership of problems instead of waiting for someone else to solve them
• Can prioritize quickly when several issues happen at once
• Learns new software and systems quickly
• Is comfortable working in a fast-moving environment where schedules can change
• Has experience working remotely for a U.S.-based company
• Has experience coordinating subcontractors, technicians, field crews, or other distributed workers
• Is looking for a long-term position with an opportunity to take on greater responsibility
We are specifically looking for someone who understands the difference between completing tasks and owning an outcome. You should be able to look at the entire production pipeline, determine what needs attention, communicate with the right people, and make sure things get done without requiring constant direction.
If we have projects starting next week, you should already be confirming subcontractor availability. If capacity is becoming tight, you should already be recruiting. If a customer or production issue develops, you should take ownership of getting it resolved. If the same type of problem keeps occurring, we want you to help improve the system so it stops happening.
SCHEDULE
This is a full-time, long-term position with a typical workload of approximately 40 hours per week. Some weeks may be lighter and others may require additional time depending on production volume and seasonality. Because you will be coordinating with U.S.-based customers, subcontractors, and field staff, you must be available primarily during U.S. Central Time business hours, approximately 8:00 AM–5:00 PM Central Time, Monday through Friday. This means working overnight hours in the Philippines, so please only apply if you are comfortable maintaining this schedule long term.
COMPENSATION
Compensation is $2,000–$2,500 USD per month depending on experience, ability, and fit. There is significant opportunity for increased compensation and responsibility for someone who performs well and becomes a key long-term member of the company.
TO APPLY
Please include the following with your application:
1. Begin your application with the words "I AM YOUR NEXT PRODUCTION MANAGER" so we know you carefully read the entire posting.
2. Briefly describe your experience managing operations, projects, contractors, logistics, or schedules.
3. Describe a situation where something went wrong operationally and explain how you handled it.
4. Tell us about your experience working U.S. business hours or overnight shifts.
5. Tell us about any experience you have managing or coordinating subcontractors, technicians, field crews, or other workers.
6. Include a short video introduction explaining your background and why you believe you would be a strong fit for this position.
Candidates who pass the initial application review will be invited to complete a practical operations exercise before moving forward in the hiring process.
We are looking for someone exceptional, dependable, proactive, and interested in becoming a long-term part of our company.
