Full-time | Remote | UK working hours
We are a family-run UK care home group looking for an organised, reliable and process-focused administrator to help improve and manage the systems used across our care homes.
This role is focused on making day-to-day processes clearer, more efficient and easier to monitor.
You will help build and maintain trackers, forms, dashboards and workflows across areas such as purchasing, maintenance, compliance, policies and general operations.
We are looking for someone who enjoys improving the way things are done, takes ownership of their work and follows actions through to completion.
Key Responsibilities
Processes, Trackers & Systems
- Create Microsoft Forms for internal requests and processes
- Build and maintain Excel trackers and simple dashboards
- Improve existing administrative processes so they are clearer and easier to monitor
- Create checklists, templates and standard workflows for recurring tasks
- Help automate repetitive administrative tasks using Microsoft 365 tools where appropriate
- Monitor trackers and highlight overdue or outstanding actions
Purchasing & Cost Control
- Help maintain purchasing and approval processes
- Track purchases and spending against agreed budgets
- Obtain quotations and communicate with suppliers
- Maintain purchasing and expenditure trackers
- Follow orders through from request to approval and delivery
- Identify unusual spending, duplicate purchases or missing information
- Prepare simple purchasing and cost reports for management
Maintenance & Operational Tracking
- Maintain a central maintenance and repairs tracker
- Record and monitor maintenance issues from initial report through to completion
- Follow up contractors, engineers and suppliers
- Track quotations, approvals, appointments and completed works
- Highlight overdue or unresolved maintenance issues to management
Policies, Compliance & Documentation
- Maintain policy and procedure records
- Track policy review dates and version changes
- Update existing policies, templates and documents where required
Maintain operational and compliance trackers
- Monitor dashboards and highlight areas where actions are outstanding
- Help keep records accurate and consistent across different systems
Data & AI
- Use AI tools to help analyse operational information
- Summarise data and identify trends, exceptions or recurring issues
- Assist with drafting and reviewing documents
- Use AI to help improve processes and reduce repetitive manual work
- Prepare simple reports and summaries for management
General Administration
- Maintain organised electronic filing systems
- Draft letters, notices and basic documents
- Take meeting notes and maintain action logs
- Follow up outstanding actions with managers, suppliers and contractors
- Support other operational and administrative tasks when required
What We’re Looking For
- Previous administrative, operations or process-related experience
- Excellent attention to detail
- Strong organisational skills
- Good Microsoft Excel skills
- Confident using Microsoft Word, Outlook and Microsoft 365
- Comfortable creating and maintaining spreadsheets and trackers
- Confident learning new systems and software
- Good written and spoken English
- Able to manage several priorities at the same time
Able to work independently and meet deadlines
Comfortable following up people when actions are outstanding
Proactive and willing to suggest better ways of doing things
Reliable and discreet when handling confidential information
Experience with Microsoft Forms, Power Automate, SharePoint, Power BI or similar tools would be helpful but is not essential.
Experience in healthcare, care homes, purchasing, finance, compliance or operations would also be helpful.

You must have:

Availability to work full-time during agreed UK working hours
