The Practice Administrator will sit within Group Support Services, working closely with the Practice Manager, legal staff, leadership, and other divisions across the Group. This is a hands-on role with exposure to a wide variety of operational, administrative, compliance, and support functions.
The Opportunity
As our Practice Administrator, you will play a key role in ensuring smooth operations of the law practice and supporting the broader ADVA Group. You will assist in managing daily workflows, administrative processes, staff support, and systems, while proactively identifying opportunities to improve efficiency and service delivery.
This role is ideal for an early-to-mid career administrator, legal assistant, office coordinator, or operations support professional who is ready to take the next step toward practice management.
Key Responsibilities
Legal Practice Support
- Assist the Practice Manager in overseeing daily operations of the law practice.
- Coordinate reception and front-of-house tasks, including client enquiries and appointment scheduling.
- Support matter management processes, file opening/closing, and compliance checks.
- Assist with billing, WIP tracking, debtor follow-ups, invoice preparation, and basic accounts support.
- Maintain legal practice systems (Clio) and assist with template and process updates.
Group Support Services
- Provide administrative support to other group divisions as required (property, finance, advisory, projects, etc.).
- Assist with group-wide events, meetings, communications, and internal coordination.
- Support HR administration tasks including onboarding preparation, induction coordination, training scheduling, leave tracking, and staff communications.
Operations & Office Management
- Manage office supplies, equipment, contractors, and facilities needs.
- Assist with IT coordination and system troubleshooting in cooperation with external providers.
- Support compliance functions including WHS, privacy, risk management, and policy updates.
- Contribute to organisational process improvements and assist with embedding new systems and workflows.
Marketing & Business Support
- Assist with digital content coordination, social media scheduling, and simple marketing tasks.
- Prepare documents, presentations, correspondence, and internal communications.
- Support events, client engagement initiatives, and business development activities as required.

- Experience in a law firm, professional services, or corporate support environment.
- Familiarity with practice management software (LEAP, Smokeball, Affinity, or similar).
- Accounts, billing, or compliance experience.
- Exposure to HR, recruitment, or marketing tasks.
- Interest in operations, systems, and process improvement.
