JOB OVERVIEW

Xander Tech Labs is looking for a reliable, highly organized part-time Virtual Assistant to support the production and administration of the Founders at the Helm podcast.

We currently have approximately 20 podcast episodes already recorded in Riverside and are looking for someone who can help manage the process from post-production through release, while also supporting guest coordination for upcoming episodes.

Responsibilities will include sending reminders to guests for both pre-podcast and podcast recording calls, handling rescheduling and follow-ups when needed, managing Riverside recording links, coordinating podcast recording logistics, and keeping the guest and episode pipeline organized. Initial pre-podcast scheduling is generally handled automatically, so the focus will be on reminders, confirmations, rescheduling, and ongoing guest communication.

The role will also include post-podcast guest follow-up. This includes sending thank-you messages after recording, preparing and sharing draft episode materials with guests when appropriate, and coordinating guest review or approval of video, clips, titles, descriptions, or other content before publication.

Podcast production responsibilities will include editing audio and video recordings, removing obvious pauses or errors, preparing final episode files, creating episode titles, descriptions and show notes, producing short clips or social-media-ready content, uploading and scheduling episodes for release, and maintaining an organized content calendar and file structure.

The ideal candidate is dependable, detail-oriented, comfortable working independently, and has experience supporting podcasts, video content, or digital media production. Experience with Riverside, Zoom, Calendly, Google Calendar/Gmail, YouTube, Spotify for Creators, Canva, CapCut, Descript, Adobe Premiere Pro, DaVinci Resolve or similar tools would be an asset.

Experience using AI tools for transcription, show notes, content repurposing, editing support, or workflow automation would also be helpful.

This is a part-time role with the potential to grow as the podcast and Xander Tech Labs expand.
