JOB TITLE: Pet Grooming Sales & Operations Coordinator
We are looking for a reliable, knowledgeable, and customer-focused professional to support a pet grooming business. You will handle customer inquiries, turn leads into appointments, coordinate schedules, and help daily operations run smoothly.
Strong knowledge of pet grooming and experience in pet grooming, pet care, or a closely related industry are required.
KEY RESPONSIBILITIES
- Answer inbound calls and respond to customer inquiries through text,
- Make outbound calls to follow up with leads, confirm appointments, reconnect with past customers, and encourage repeat bookings.
- Explain grooming services, pricing, packages, and appointment expectations clearly.
- Ask the right questions about each pet’s breed, size, coat condition, grooming history, behavior, and special needs.
- Convert inquiries into bookings through helpful recommendations and consistent follow-up.
- Manage appointments, cancellations, rescheduling, reminders, and recurring bookings.
- Coordinate with groomers to match appointments with their availability, service capabilities, and expected grooming duration.
- Keep accurate customer and pet records, appointment notes, and follow-up tasks in the CRM or booking system.
- Handle customer concerns and complaints professionally, escalating issues when needed.
- Support daily operations by identifying scheduling gaps, avoiding booking conflicts, and communicating changes promptly.
- For mobile grooming appointments, consider service areas, travel time, and route efficiency when scheduling.
REQUIRED INDUSTRY KNOWLEDGE
- Familiarity with common dog breeds, sizes, coat types, and their different grooming needs.
- Understanding of grooming services such as bathing, haircuts, brushing, deshedding, dematting, nail trimming, and ear cleaning.
- Knowledge of regular grooming schedules and how coat condition, pet size, and requested services affect appointment time and pricing.
- Awareness of anxious pets, senior pets, puppies, and pets with handling sensitivities.
- Understanding of vaccination requirements, intake procedures, and business policies.
- Ability to recognize concerns that require a groomer’s assessment or veterinary attention and communicate them appropriately.
QUALIFICATIONS
- Relevant experience in pet grooming, pet care, boarding, veterinary customer service, or a similar industry.
- Proven ability to handle sales, customer service, and daily operational coordination.
- Strong spoken and written English with a confident, friendly phone manner.
- Experience handling inbound calls, outbound calls, and customer follow-ups.
- Ability to recommend suitable services, address objections, and close bookings without pressuring customers.
- Strong scheduling, organization, attention to detail, and problem-solving skills.
