ROLE OVERVIEW
The Legal Case Manager is a critical operational role responsible for keeping cases organized, moving, and properly documented from intake through resolution. This is not a passive administrative position — we need someone who takes ownership of their cases, anticipates what needs to happen next, and flags issues before they become problems. The ideal candidate has California personal injury experience, knows Clio inside and out, and can work independently without constant direction.
KEY RESPONSIBILITIES
Client Onboarding & Intake
• Manage the full client onboarding process from initial contact through signed retainer agreement
• Collect and organize all intake documents, a
• Enter all client and case data accurately into Clio at intake and maintain ongoing case records
• Serve as the primary point of contact for new clients during the onboarding phase, ensuring a professional and organized first impression
Calendaring & Deadline Management
• Maintain the firm's master calendar across all pre-litigation and litigation files
• Calendar all critical deadlines including statute of limitations dates, discovery response deadlines, hearing dates, mediation dates, and demand expiration dates
• Set and manage reminder protocols in Clio to ensure no deadline is missed
• Proactively flag upcoming deadlines to the supervising attorney and litigation paralegal with sufficient lead time
Case Status Monitoring & Forward
• Monitor the status of all assigned cases and proactively identify what needs to happen next to move each case toward resolution
• Maintain accurate and up-to-date case stage designations in Clio
• Coordinate with the litigation paralegal and medical coordinator to ensure all case components are progressing on parallel tracks
• Prepare weekly case status summaries for attorney review
• Flag stalled cases and identify the specific obstacle preventing forward movement
Insurance Company & Adjuster Correspondence (Pre-Litigation)
• Correspond with insurance companies and adjusters on pre-litigation files under attorney supervision
• Open claims, confirm coverage, and obtain claim numbers on new files
• Follow up on outstanding demands, medical records requests, and adjuster communications
• Document all insurance correspondence in Clio with accurate date and content records
• Escalate coverage disputes, reservation of rights issues, or adjuster bad faith conduct to the supervising attorney immediately
File Organization & Process Management
• Maintain organized and complete digital case files in Clio for all active matters
• Implement and maintain consistent file naming conventions and document organization protocols across the practice
• Ensure all incoming documents — medical records, correspondence, pleadings, discovery — are uploaded, categorized, and linked to the correct matter promptly
• Identify and flag gaps in case files — missing records, unsigned authorizations, outstanding items — and coordinate with the medical coordinator or litigation paralegal to resolve them
Legal Writing Support (Preferred)
• Draft pre-litigation demand letters under attorney supervision and direction
• Assist with mediation brief preparation including organizing treatment summaries, special damages calculations, and exhibit organization
• Prepare case chronologies and medical record summaries to support demand and brief drafting
• Proofread and format outgoing legal correspondence and documents
QUALIFICATIONS
Required:
• Minimum 2 years of experience in a California personal injury law firm in a case management, paralegal, or legal administrative role
• Proficiency in Clio case management software — must be able to demonstrate working knowledge of matter management, document management, calendaring, and task functions
• Strong written and verbal English communication skills — all correspondence with insurance companies, adjusters, and clients will be in English
• Demonstrated ability to manage multiple cases simultaneously with competing deadlines without losing track of details
• High level of organization, reliability, and attention to detail
• Ability to work independently and take initiative without requiring constant direction
• Availability to work during California business hours (Pacific Time)
Strongly Preferred:
• Experience corresponding directly with insurance companies and adjusters on pre-litigation personal injury files
• Familiarity with California personal injury litigation procedures, discovery timelines, and court filing requirements
• Legal writing experience — demand letters, correspondence, or brief support
• Experience using AI tools to support legal drafting and case management workflows
