About the role
We are seeking an experienced, high-judgment Personal & Family Virtual Assistant to support a private U.S.-based family with travel, scheduling, household administration, vendors, payments, and recurring life admin. This is a long-term personal/family support role. You will work directly with the family and alongside a U.S.-based Chief of Staff.
We are looking for someone proactive, discreet, polished, and exceptionally detail-oriented: a person who can take a broad “please handle this” request, determine the next steps, make the calls, compare options, obtain approvals, and close the loop without constant supervision.
What you'll own
- Personal and family travel: Plan travel end-to-end, including flights, hotels, ground transportation, reservations, itineraries, upgrades, changes, claims, and reimbursements. You must be comfortable handling complex preferences and last-minute changes.
- Inbox, scheduling, and life admin: Manage a dedicated family/admin inbox and coordinate appointments, activities, vendors, renewals, subscriptions, forms, and other personal commitments.
- Household operations: Maintain organized records of contacts, vendors, preferences, important documents, recurring tasks, and simple operating procedures.
- Payments and follow-through: Track bills and reimbursements, prepare payment requests for approval, follow up, and ensure deadlines are met.
- Research and recommendations: Research options, compare prices and terms, check quotes, and present concise recommendations with clear tradeoffs.
What we're looking for:
- Bachelor's degree from an accredited university and five years or more of relevant experience as a Personal Assistant, Family Assistant, Virtual Assistant, or in a similar role preferred.
- Demonstrated experience supporting U.S. or other Western clients, ideally a founder/executive and family.
- Excellent spoken and written English, including the confidence to call airlines, hotels, medical offices, schools, vendors, and customer-service teams.
- Exceptional attention to detail, particularly with names, dates, costs, reservations, preferences, and approvals.
Strong judgment, discretion, resourcefulness, and the ability to manage ambiguous requests through completion.
- Experience planning complex personal or family travel; familiarity with loyalty programs, upgrades, credit-card benefits, and travel claims is helpful.
- Fluency with Google Workspace and shared inboxes; familiarity with tools such as 1Password, BILL, Privacy, Asana, ClickUp, or Notion is a plus.
- A reliable home-office setup with two internet options and backup power and a private, quiet workspace
Compensation and benefits
- US$950–$1,200 per month, depending on experience.
- 13th-month payment.

- Paid in USD via Wise or Payoneer, on the 1st and 15th (whatever you choose)
