JOB OVERVIEW

Hamilton Island Boutique is an Australian women's fashion brand, founder-led and growing. We are preparing to scale over the coming months, with more markets and a second store planned. You will work directly with the founder.

WHAT THIS ROLE IS

This is a Personal Assistant role. You will become the founder's right hand: the person who runs day-to-day operations, keeps an overview of everything that happens in the business, and reports to the founder. We train you into that role through customer service, because that is where you learn the business, the customers and the supplier. We begin with a few hours per week, and your hours and responsibilities grow as the work grows: from customer service into disputes, supplier follow-up, admin, and eventually running operations.

We are not looking for someone who answers emails. We are looking for someone who understands that the job of customer service is to keep revenue inside the company and to protect the reputation of the brand, and who genuinely cares about the result.

WHAT YOU WILL DO

- Handle customer emails and messages in our internal dashboard.
- Handle refund requests the right way: find out what the customer actually needs and offer a real solution before a refund is ever on the table.
- Handle payment disputes and chargebacks: gather the facts, respond, and resolve them in the company's favour.
- Follow up with our supplier on orders that need attention.
- Report to the founder at the end of every shift.
- As you grow: listing checks, admin, keeping our procedures up to date, and more responsibility as the company expands.

WHAT WE EXPECT FROM YOU

- At least 1 year of customer service for a Shopify or dropshipping store, including refunds and disputes.
- You have handled PayPal or card disputes before and you know how to win them.
- Excellent written English: clear, warm, and written for the person in front of you, not copied from a template.
- You ask when you are not sure instead of guessing.
- You are structured and reliable: nothing gets forgotten, and you report without being reminded.
- You are comfortable using AI tools such as ChatGPT or Claude in your work.
