The Permit Coordinator Assistant supports the Permit Coordinator in managing the permitting and inspection process for residential and commercial roofing projects. This role is responsible for preparing permit applications, tracking approvals, coordinating inspections, gathering required documentation, and communicating with city officials, suppliers, project managers, and customers to help keep projects moving on schedule.
Key Responsibilities
• Prepare and submit building permit applications to California city and county jurisdictions.
• Track permit applications, plan reviews, correction notices, approvals, and inspection statuses.
• Respond to permit corrections by gathering documents and coordinating with project managers and suppliers.
• Schedule and monitor required inspections, including tear-off, in-progress, and final inspections.
• Prepare and submit supporting documents, including product specifications, manufacturer installation documents, material certifications, energy compliance documents, affidavits, authorization letters, and license documentation.
• Complete construction waste management and recycling requirements, including GreenHalo and other jurisdiction-specific documentation.
• Maintain accurate permit records and update internal tracking systems.
• Communicate with homeowners, project managers, suppliers, inspectors, and building department staff regarding permit and project requirements.

• Ensure permitting activities comply with local building codes and jurisdiction-specific requirements.
• Assist with other administrative and project coordination tasks as needed.
Qualifications
• Strong organizational and time management skills.
• Excellent written and verbal communication skills.
• Strong attention to detail and accuracy.
• Ability to manage multiple projects, deadlines, and permit requirements simultaneously.
• Proficiency with Microsoft Office and Google Workspace.
• Comfortable learning and navigating online permitting portals and government systems.
• Customer service experience is preferred.
• Experience in construction, roofing, permitting, or project coordination is a plus but not required.
Preferred Skills
• Experience with online permitting portals such as eTRAKiT, Citizen Access, or similar systems.
• Familiarity with California building permit processes.
• Ability to understand permit requirements and correction notices.
• Experience with construction documentation, permit tracking, and inspection scheduling.
