We are seeking a detail-oriented and experienced Insurance Payroll & Accounting Specialist to join our team full-time. This role is responsible for managing payroll processes for a growing organization, maintaining accurate financial records, and supporting a variety of accounting functions. The ideal candidate will have extensive payroll experience, strong accounting knowledge, and experience working in an organization with 50+ employees.
In addition to payroll administration, this position will support key accounting activities, including financial reporting, annual retirement plan reporting, audits, account reconciliations, and general bookkeeping functions. The successful candidate must be highly organized, analytical, and proficient in QuickBooks.
Key Responsibilities
Payroll Administration
- Process and manage payroll accurately and on time for a workforce of 50+ employees.
- Administer payroll using Gusto and ensure employee records, deductions, benefits, and payroll data are maintained accurately.
- Maintain payroll records and ensure compliance with applicable regulations and company policies.
- Review payroll data, timesheets, deductions, and adjustments for accuracy.
- Investigate and resolve payroll discrepancies and employee inquiries.
- Support payroll-related reporting and documentation requirements.
Accounting & Bookkeeping
- Maintain accurate financial records and general ledger transactions.
- Manage accounts payable and accounts receivable processes.
- Reconcile bank accounts, credit card accounts, and other balance sheet accounts.
- Record and categorize financial transactions in QuickBooks.
- Prepare monthly, quarterly, and annual financial reports.
- Assist with month-end and year-end closing activities.
- Support cash flow monitoring and financial analysis.
Compliance, Reporting & Audits
- Assist with annual retirement plan reporting and related documentation.
- Support internal and external audits by preparing schedules, reports, and supporting documents.
- Maintain compliance with accounting standards, company policies, and reporting requirements.
- Prepare and organize financial records for tax and regulatory requirements.
- Ensure financial documentation is complete, accurate, and audit-ready.
Qualifications
- Bachelor's Degree in Accountancy, Accounting Technology, Finance, or a related field (required).
- Minimum of 3 years of payroll and accounting experience.
- Strong payroll processing experience, preferably for organizations with 50+ employees.
- Strong working knowledge of QuickBooks.
- Hands-on experience with Gusto Payroll or similar payroll systems.
- Proficiency in Microsoft Excel and other accounting software.
- Experience with financial reporting, reconciliations, and general ledger accounting.
- Experience supporting audits and annual reporting requirements.
- Strong analytical and problem-solving skills.
- Exceptional attention to detail and accuracy.
- Ability to manage sensitive and confidential information.
- Excellent organizational, communication, and time-management skills.
Schedule & Work Requirements
- Full-Time: 40 hours per week.
- Must be available to work during Pacific Standard Time (PST) business hours.
- Reliable internet connection and dedicated remote work environment required.
Preferred Qualifications
- Experience in the insurance industry.
- Experience administering payroll through Gusto for multi-state workforces.
- Familiarity with retirement plan reporting and compliance requirements.
- Experience supporting audit processes and financial reviews.
- Proven ability to work independently while managing multiple priorities and deadlines.
