About the Role
Clinical Oversight Consults is a US-based medical clinic group operating across several states. We're hiring a Patient Phone Coordinator to be the warm, steady voice patients hear when they call us. This is a remote, night-shift position (covering US hours) for someone who can move quickly without ever sounding rushed and who makes every caller feel like the most important person on their list.
What You'll Do
- Own the phones — handle a steady flow of inbound and outbound calls with patience, clarity, and real care.
- Guide prospective patients through our fees and what to expect, then book them into the right slot across our multi-state calendars.
- Keep our paperless system clean — update our EMR/scheduling software, file records accurately, and let nothing slip.
- Get patients fully ready for their visits by reviewing files ahead of time and following up on anything missing.
- Pitch in on light admin projects as the practice keeps growing.
What We're Looking For
- Prior experience in a medical, dental, or professional office (a couple of years preferred).
- A naturally calming phone presence and the ability to explain things in plain, friendly language.
- Comfort with modern software and the confidence to learn new tools fast.
- Sharp attention to detail and the ability to juggle several things at once without dropping quality.
- Reliable high-speed internet, a quiet workspace, and a backup power/connection plan.
Pay & Perks
- $800–$1,600/month depending on experience.
- 13th-month pay, paid holidays, and paid time off after 90 days.
- A genuine long-term seat with a clear path to team lead as we expand.
HOW TO APPLY (READ CAREFULLY — APPLICATIONS THAT SKIP STEPS WILL NOT BE READ):
Step 1 — Record a 60–90 second voice sample using
"Thank you for calling Clinical Oversight Consults, this is [your first name], how can I help you today? … I understand, and I'm sorry you're dealing with that. Let me pull up our next available appointment in Rhode Island. We have an opening this Thursday at 2pm Eastern, or next Monday at 10am. Which works better for you? … Perfect. Before I lock that in, I'll send a confirmation text with the paperwork link and our $249 evaluation fee, payable at the visit. Is the number you're calling from the best one to reach you?"
Paste the Vocaroo link at the TOP of your application.
Step 2 — Below the link, answer these three questions in 2–3 sentences each:
1. Which medical or healthcare office(s) have you worked in, and what EMR or scheduling tools did you use there?
2. Tell me about a time a caller was upset or anxious — what did you do, and how did it turn out?
3. Run a quick test at
Step 3 — At the very bottom of your application, type the word "Cucumber" so I know you read the whole post.
We review every application that follows all three steps. We will not respond to applications that are missing the voice sample.
