About Us
We are a premium landscaping and property maintenance company based in Bayside, Melbourne, Australia. We cater to high-end residential clients and top-tier Real Estate agencies. We are currently scaling our operations, and we are looking for a sharp, detail-oriented Virtual Assistant to take the wheel.
The Role
We don’t need someone to just answer
Your Daily & Weekly Tasks
- Quoting & Invoicing (ServiceM8): Building professional, highly accurate quotes using our established material "bundles" and recipes.
- Data Management (QuickBooks Online): Updating material costs and ensuring supplier invoices are correctly categorized.
- Scheduling & Logistics: Dispatching jobs to the field team, coordinating skip bin deliveries, and managing sub-contractor calendars.
- Inbox Management: Handling client inquiries and filtering the noise so the CEO can focus on site work.
Requirements (Non-Negotiable)
- Extreme Attention to Detail: A misplaced decimal point on a paving quote costs us money. You must be meticulous with numbers.
- Flawless English (C1/C2 Level): You will be communicating directly with high-net-worth clients and professional property managers.
- Tech Savvy: Previous experience with ServiceM8, Tradify, Xero, or QuickBooks Online is a massive advantage.
- Timezone Overlap: You must be available to work at least 3 hours per day during Australian Eastern Standard Time (AEST) morning hours.
