Cofer Bookkeeping Services is a US-based bookkeeping firm serving small business and nonprofit clients across construction, automotive, and professional services. We do clean, defensible books — not shortcuts. Our clients get real answers, on time, every time.
The owner currently runs day-to-day operations of managing our team of 3 bookkeepers. That stops when we hire you.
We are looking for an experienced accounting professional to take over operations: manage the bookkeeping team, enforce quality, own client communication, and keep every client file moving. This is not a data-entry job and it is not an entry-level VA role. You will be the person the team reports to and the person clients hear from every week.
What you will own:
- Team Management & Quality Control
- Run a weekly tea
- Track each client's progress and hold tea
- Audit transaction coding against the vendor sheets saved and approved by each client; catch and correct miscoding before it reaches the client
- Review work product before it goes out and send it back when it isn't right
- Identify where tea
Client Communication
- Send a weekly update
- Run monthly phone/video calls with clients to walk through their financials and answer questions
- Be the first point of contact for client questions during the week and route or resolve them
Reporting
- Produce monthly client reporting packages
- Improve on our current reporting: each client should receive a clear, brief written summary of their financial performance for the month — what changed, what it means, what to watch — not just raw statements. Claude can make this super easy with the raw statements from team.
Growth Support
- Run discovery calls with new leads to scope their needs, template provided
-Prepare and send quotes using our standard pricing structure
Requirements — do not apply if you do not meet these
- 10+ years of hands-on accounting or bookkeeping experience. No exceptions.
- Expert-level QuickBooks Online. You should be able to diagnose a broken file, not just enter transactions.
- Strong QuickBooks Desktop experience. Several of our clients are on Desktop and you must be able to serve them properly.
- Full-cycle bookkeeping: bank and credit card reconciliations, AP/AR, payroll journal entries, chart of accounts design, GL cleanup, month-end close, financial statement preparation and review
- US GAAP working knowledge and experience with US-based clients
- Excellent spoken and written English. You will be on live calls with US business owners every month. Heavy accent or hesitant speaking will not work for this role.
- Proven experience managing or supervising other bookkeepers/accountants
- Reliable high-speed internet, a quiet space for calls, a working headset and webcam, and a computer that can run QuickBooks Desktop
- Extremely organized. You track everything. Nothing falls through the cracks because you are the one holding the list.
Nice to have
- CPA accounting credential
- Experience with construction, automotive, or nonprofit clients
- Experience with Karbon, Financial Cents, Keeper, or similar workflow tools
- Experience building or improving client-facing reporting templates
