JOB OVERVIEW

Job Overview
We are looking for a reliable, detail-oriented GoHighLevel (GHL) Operations Specialist to help manage and maintain our GoHighLevel platform on an ongoing, part-time basis.
This is database, workflow automations, funnel-building, website building and limited marketing strategy role.
This role is for someone who enjoys running systems, maintaining order, documenting work, and executing clearly defined tasks.
If you are fluent in English, highly organized, and comfortable owning day-to-day platform operations, this role is a strong fit.

Hours & Engagement
• 10–20 hours per week to start
• Long-term role (not project-based)
• Weekly written reporting required
• Work from a defined backlog and priorities

Core Responsibilities
GoHighLevel Operations (Primary)
• Maintain and organize CRM data (contacts, tags, custom fields)
• Manage pipelines and opportunity stages
• Build, maintain, and QA workflows and automations
• Set up and manage email/SMS campaigns for warm audiences
• Create and manage forms, calendars, triggers, and notifications
• Test automations and campaigns before launch
• Keep the system clean, documented, and easy to understand

Email Deliverability & Domains
• Follow best practices for email deliverability
• Understand the difference between warm vs cold email usage
• Help document domain and inbox usage
• Execute within defined rules (no improvising strategy)

Reporting & Documentation (Required)
• Provide a weekly written report in clear English, including:
o What was completed
o What is in progress
o What is blocked
o What is planned next week
• Document workflows and systems so nothing is unclear
• Proactively flag issues or risks early

Tools You Will Work With
• GoHighLevel (required)
• Google Docs / Sheets
• Slack
• (Bonus, not required): Instantly, Google Search Console

English Language Requirement (Important)
• Fluent written and spoken English is required
• You must be comfortable:
o Writing clear weekly reports
o Asking clarifying questions
o Communicating issues without confusion
This role involves regular written communication and documentation.

Certifications (Strongly Preferred)
Please list any GoHighLevel certifications or training you have, including:
• GoHighLevel certification(s)
• Agency-focused GHL training programs
• Automation or CRM certifications related to GHL
Certifications are not mandatory, but candidates with formal GHL training or certification will be prioritized.

Required Experience
• Hands-on experience managing GoHighLevel
• Comfortable with workflows, triggers, tags, and pipelines
• Experience supporting a business or agency using GHL
• Strong attention to detail
• Clear written communication in English
• Comfortable following instructions and defined scope

Nice to Have (Not Required)
• Experience with cold email tools (e.g., Instantly)
• Understanding of domains and inbox warmup
• Experience documenting SOPs or workflows
