JOB OVERVIEW

Majestic Event Group LLC is a growing U.S.-based wedding and event-services company located in Georgia. We provide wedding and event photography, videography, DJ services, digital photo booths, print photo booths, 360 booths, Magic Mirror booths, event rentals, and related event-service packages.

We are hiring a dependable Part-Time Client Operations & Booking Coordinator to help manage our incoming leads, communicate with prospective clients, make follow-up calls, maintain our lead-management system, and help convert qualified inquiries into paid bookings.

This is primarily a warm-lead position, not a high-volume cold-calling position. Most clients have already contacted our company, responded to an advertisement, requested pricing, submitted an inquiry, or previously discussed an event with us.

The ideal candidate is organized, comfortable speaking with U.S. customers, confident discussing pricing, and able to politely ask prospective clients to move forward with their booking.

Schedule

Approximately 12 hours per week
Part-time, ongoing position
Work will be divided into scheduled lead-response and follow-up periods
Regular weekday availability is required
Limited Saturday and Sunday lead coverage is required
Assigned working periods will be based on U.S. Eastern Time
Exact working periods will be finalized with the selected candidate

Starting Compensation

$4.50 USD per hour
Initial 30-day paid trial
Approximately 12 hours per week
Performance-based fixed booking bonuses available after successful completion of the trial period
Opportunity for additional hours, increased responsibility, and higher compensation based on proven performance and company growth

Primary Responsibilities

Monitor incoming leads from Facebook, Instagram, Google, Yelp, Thumbtack, email, our CRM, and booking systems
Respond professionally to prospective clients by telephone, text message, email, and approved messaging platforms
Contact new leads during assigned working periods
Follow up with existing leads who have not yet booked
Ask qualifying questions regarding event date, location, event type, coverage hours, guest count, requested services, and budget
Explain company packages using approved pricing, scripts, FAQs, and sales materials
Recommend appropriate photography, videography, DJ, photo booth, and event-service packages or bundles
Schedule consultations when necessary
Send approved proposals, booking links, contracts, questionnaires, and follow-up messages
Follow up on proposals that have not been accepted
Follow up on unsigned agreements and unpaid retainers
Update every lead accurately in our CRM or lead-management system
Record complete notes after calls and client communications
Assign the correct lead status and next follow-up date
Send routine appointment reminders, booking reminders, and approved client communications
Submit a brief activity report after each assigned working period
Prepare a simple weekly lead-pipeline report showing new leads, follow-ups, proposals, bookings, lost leads, and pending opportunities
Escalate custom pricing, unusual discounts, complaints, refunds, contract changes, or special requests to management

Important Limitations

The selected assistant will be provided with approved pricing, scripts, procedures, and guidelines. You may not create custom pricing, offer unauthorized discounts, approve refunds, modify contracts, or make major client-service decisions without management approval.

Performance Expectations

Every assigned new lead must be reviewed and contacted during the appropriate scheduled working period
Required follow-ups must be completed on time
Every active lead must have an accurate status and next-action date
Telephone activity must match the company call log
Complete CRM notes are required after every meaningful client communication
Approved pricing and company procedures must be followed
The coordinator must be comfortable professionally asking qualified clients if they are ready to book
Client communication must remain professional, friendly, and helpful
Accurate time reporting, reliable attendance, and dependable communication are required
Problems or unusual client requests must be escalated instead of guessed at

Required Qualifications

Strong spoken and written English
Clear, friendly, confident, and professional telephone voice
Previous experience in customer service, call-center/BPO work, appointment setting, sales support, reservations, hospitality, lead management, or a similar position
Comfortable making outbound follow-up calls to U.S. customers
Comfortable discussing prices and asking prospective clients to complete a booking
Strong organizational skills and attention to detail
Able to follow scripts and written procedures while still sounding natural when speaking with clients
Experience using a CRM, online booking system, scheduling platform, or lead-management system
Reliable computer and high-speed internet connection
Quiet workspace and professional headset
Backup internet access is strongly preferred
Able to work independently without constant supervision
Able to learn new systems and follow detailed instructions

Experience with weddings, events, hospitality, photography, entertainment, or event-service businesses is a plus but is not required.

6. Please confirm that you are comfortable starting at $4.50 USD per hour for approximately 12 hours per week during the initial 30-day paid trial.

7. The names of any CRM, calling, booking, scheduling, sales, or customer-service platforms you have previously used.

8. Tell us briefly why you believe you would be a good fit for a small but growing U.S. event company.
