Role Overview
We are seeking an experienced Finance Coordinator to support our fast-growing agency with finance operations, quoting, and budgeting. This role requires a strong grasp of Xero, Google Sheets, and NZ tax law, with the ability to collaborate closely with our internal team and CEO. The ideal candidate will be detail-oriented, highly organised, and proactive in streamlining finance processes to ensure accuracy, efficiency, and visibility across the business.
Key Responsibilities
Collate Finance Information: Work with internal staff to gather, reconcile, and organise finance data, including expenses, payables, and receivables
Draft & Manage Quotes: Prepare and issue Xero quotes and proposals, ensuring accuracy and alignment with internal processes
Budget Support: Assist in developing and maintaining business budgets, working directly with the CEO to build and update Google Sheets financial models
CRM & Quoting Systems: Use CRM and quoting tools to track proposals, client activity, and deal progress
Compliance: Ensure accuracy in finance data and alignment with general NZ tax law requirements
Reporting: Provide clear, timely updates on finance status, outstanding invoices, and budget forecasts
Process Improvement: Recommend and implement improvements to finance workflows and reporting
Skills & Requirements
Proven experience in a finance coordination or bookkeeping role (agency or professional services experience is a plus)
Strong working knowledge of Xero
Advanced Google Sheets skills (formulas, pivot tables, data modelling)
Understanding of general NZ tax law (GST, invoicing standards, reporting obligations)
Familiarity with CRM systems and quoting tools
Exceptional attention to detail and accuracy
Strong communication skills and ability to collaborate with multiple tea
Highly organised, able to manage multiple tasks and deadlines simultaneously
