We are an ophthalmology practice looking for an experienced remote office assistant to handle daily administrative and clinical support tasks. This is a full-time position working US business hours.
IMPORTANT: We strongly prefer candidates with prior ophthalmology or optometry office experience. Experience in a medical office setting (any specialty) is the minimum requirement.
Responsibilities:
- Answer and manage incoming patient phone calls professionally
- Schedule, confirm, and reschedule patient appointments
- Handle prior authorizations (PAs) for procedures, medications, and diagnostic testing with insurance companies
- Perform basic patient triage over the phone (assess urgency of symptoms, route appropriately)
- Verify patient insurance eligibility and benefits
- Follow up on referrals and specialist consultations
- Manage patient messages and relay information to clinical staff
- Maintain accurate records in the practice management system / EHR
- Handle prescription refill requests and coordinate with pharmacies
- Assist with billing inquiries and patient balance follow-ups
Requirements:
- Prior experience working in an ophthalmology or optometry practice (strongly preferred)
- At minimum, experience in a US medical office environment
- Familiarity with medical terminology, especially eye-related conditions and procedures
- Experience with prior authorizations and insurance verification
- Excellent English communication skills (phone work required)
- Comfortable using EHR/EMR systems
- Reliable internet connection and quiet workspace
- Available to work during US business hours (Pacific Time)
- HIPAA awareness and commitment to patient privacy
Nice to Have:
- Knowledge of common ophthalmology procedures (cataract surgery, intravitreal injections, OCT, visual fields, etc.)
- Experience with specific EHR systems (e.g., NextGen, Modernizing Medicine, EMA, Athena)
- Medical coding knowledge (CPT/ICD-10 for ophthalmology)
- Prior authorization experience specifically with eye care procedures
