JOB OVERVIEW

We are looking for an experienced Operations / Systems Manager / Architect to improve how our digital marketing agency runs behind the scenes. You will be responsible for building clear systems, improving workflows, documenting processes, connecting tools, and making sure the team can deliver work efficiently and consistently.

Responsibilities

Review current operations and identify bottlenecks, gaps, and inefficiencies
Build and improve internal systems, workflows, and standard operating procedures
Create clear processes for onboarding, fulfillment, communication, reporting, and task management
Organize project management systems and improve team accountability
Build automations between CRM, project management, communication, and marketing tools
Document repeatable processes so tasks can be delegated and scaled
Improve handoffs between sales, strategy, fulfillment, and client success teams
Create dashboards and reporting systems for key operational metrics
Monitor deadlines, capacity, workload, and overall team performance
Maintain and improve the agency’s technology stack
Train team members on new systems and processes
Continuously improve operations as the agency grows

Requirements

Proven experience in operations, systems management, or process architecture
Experience working with a digital marketing agency or service-based business preferred
Strong understanding of project management, CRM, automation, and workflow tools
Experience creating SOPs, process maps, and internal documentation
Strong problem-solving and process-improvement skills
Ability to turn complex workflows into simple, repeatable systems
Experience with tools such as GoHighLevel, ClickUp, Asana, ---------- , Zapier, Make, or similar platforms
Strong organizational and project management skills
Comfortable working across multiple departments and managing competing priorities
Detail-oriented, proactive, and able to work independently
