Operations Manager (Fulltime)
$8-10/hr

MUST HAVE 3 years of direct US Residential Real Estate experience/Operations role (Non-negotiable)

Role Overview
We are a fast-growing, high-performance US Real Estate team looking for an experienced Operations Manager / Integrator who thrives on creating order, driving execution, and building scalable systems.

You will serve as the backbone of our business—managing daily operations, holding the team accountable, optimizing systems, and keeping KPIs on track so leadership can focus on growth. You ensure nothing falls through the cracks from lead generation all the way through to closing.

Mandatory Requirement: Minimum 3 years of US Real Estate Operations experience required. Non-US real estate applications will not be considered.

Key Responsibilities

Team Leadership & Accountability: Support and manage VAs and ops staff, conduct daily check-ins/weekly accountability meetings, track productivity, create SOPs, and assist with onboarding.

Operations & Systems Management: Manage CRM systems, build workflows/automations, maintain operational trackers, ensure data accuracy, and fix operational bottlenecks.

KPI & Performance Tracking: Monitor daily/weekly/monthly metrics (lead flow, appointments, contracts, pipeline), maintain reporting scoreboards, and present insights to leadership.

Project Management: Coordinate cross-functional initiatives, manage timelines and deliverables, and resolve operational roadblocks proactively.

Real Estate Transaction Support: Support transaction workflows, coordinate across Agents, ISAs, and TCs, and refine systems that power client experience and sales growth.

Qualifications & Requirements

Must-Haves

Experience: 3+ years in US Real Estate operations (brokerage or team setting). Operations Manager, Project Manager, Operations Assistant, Executive Assistant, Transaction Coordinator or similar roles.

Skills: Proven experience managing remote teams, deep understanding of real estate lifecycles, advanced organizational skills, and fluent written/spoken English.
Mindset: Proactive problem solver, process-driven, calm under pressure, and capable of holding teams accountable.

Software Proficiency
CRMs & Tools: Follow Up Boss (Preferred), HubSpot, Google Workspace, Slack, Zoom, Trello / Asana / ClickUp, Excel / Google Sheets.

First 90 Days: What Success Looks Like
Establish strong team accountability and reporting cadences.
Clean up CRM structures and optimize existing workflows.
Keep all tracking dashboards up to date for leadership visibility.
Identify operational gaps and deploy immediate efficiency fixes.
